Can I set up alternating service availability by week in Square Appointments?

The title of this thread has been edited from the original: Dual licensed massage therapist and stylist.

Is there a way I can take advantage of the Resources upgrade so I can get more specific with my online booking options? I am dual licensed and I am in the salon one week, spa the next. I work different hours each week. Is there something I can do with my calendar settings that I am not figuring out?

To effectively manage your dual roles as a massage therapist and stylist, you can utilize the Square Appointments system without needing to use the Resources feature.

Here's how you can tailor your account and calendar settings to accommodate your varying schedules:


1. Create Two Staff Profiles

Set up two separate staff profiles for yourself to represent your different roles:

Staff Member 1
Katie (Salon)

Staff Member 2
Katie (Spa)

  • From your online Square Dashboard, navigate to Staff & Payroll > Team > Team Members  to create these profiles.
  • To ensure clients don't see these labels during online booking, enter "(Salon)" and "(Spa)" in the last name section of the staff member profiles.
  • Once created, navigate to Appointments > Staff > + Add staff and select your staff member from the list. This will allow you to create a bookable staff member. Repeat this process for the other staff member profile.

2. Create & Define Services

Create distinct services for your salon and spa work, assigning each service to the corresponding staff member profile. This ensures that clients booking a salon service will only see availability for the salon staff member profile, and similarly for spa services:

Salon Services

Salon Service 1 > Katie (Salon)

Salon Service 2 > Katie (Salon)

Salon Service 3 > Katie (Salon)

Spa Services

Spa Service 1 > Katie (Spa)

Spa Service 2 > Katie (Spa)

Spa Service 3 > Katie (Spa)

  • From your Square Dashboard, head to Appointments or Payments > Appointments.
  • Click Library > Services.
  • Click Create Service and enter your service’s details.
  • Under Online Booking, toggle on Bookable by customers online and assign the respective staff member.

3. Set Hours and Availability

Customize your availability for each staff member profile to reflect your alternating weekly schedule:

  • Navigate to Appointments > Calendar.
  • Click the Clock Icon to edit availability.
  • Choose One-time change and select the appropriate staff profile (Salon or Spa).
  • Set your availability for the upcoming weeks, alternating between the two profiles.

This setup will allow clients to book your services based on your weekly schedule, ensuring they see your availability as alternating weeks for salon and spa services.

In order to create a team member profile, a phone number or email address is required.
