Appointments and Prepayments

A client pre-paid using Item Payment Link and separately an appointment was booked, How do I apply their payment to their appointment to indicate the appointment was completed and the money was applied to that appointment?

At the moment I don't believe there is a way to carry a pre-payment into an appointment.

 

We use Gift Cards for this purpose, so that way we can at least give the customer the gift card and then they can use it when they come, so it sort of all squares itself out neatly (no pun intended!).

 

Second option is you can just keep a note in the customer's file that they've pre-paid and then at checkout just process it under the 'other payment type' to clear it. Not as neat, but technically you have the money so it doesn't really matter. We use this for bank transfer or Afterpay payments pre-tap days.

 

Third option is you can apply a discount to their appointment before they arrive — I would setup a discount code like 'pre payment' or something off so you can track it in your accounting and it doesn't look like a promotion. To do this:

  • Setup your discount first – make it 100% off
  • Go into the individual appointment and 'edit' it
  • Down near the Total area, you should see 'add discount'
  • Something to note if you haven't used discounts before, be careful if the customer does anything extra that they need to pay for during the service, discounts easily can apply to the whole appointment if you're not careful. In that case, you could just process their appointment on its own, then do a separate sale for that customer using the checkout / POS area (which will still show in their profile history too).
