Urgent: Unexplained Location Assignments in Inventory Causing Chaos

Hey everyone,

I'm really fed up with a problem I'm having with Square. Every night, items that don't have a location are getting one all by themselves. I've been taking screenshots every day and the problem just keeps getting worse.

This is messing up my business because my Square is linked to other websites. So now, these items are showing up everywhere, even though I don't have them in stock.

I've talked to Square's tech support and their engineers. They watched my inventory for a day and said there's nothing wrong. They're not admitting there's a problem or doing anything to help.

I'm really angry about this. I need this problem fixed and I need Square to take this seriously.


What am I supposed to do at this point?

Sorry you are having these problems, Maybe you could share more information about "Unexplained Location Assignments".

I only have 1 location so I may not be able to help you but others Might be able to help on here if you explained that and maybe shared some of the Screen Shots you have been taking.  Just remove Identifying things from Screen shots, like Names and receipts information codes etc.  Maybe some of the other businesses on here with more than 1 location could assist you, since this is Urgent.

The more information you provide here the more help you can get.  What device or devices are you using from Square?   Square Stands, Registers, terminals etc.... What Square POS are you using?  (Square POS free, Square for retail (free or paid) Square for Restaurants  etc..)  There are slight differences between all of these.

I think everything needs a location to sell an item.  So if your items have no location, they are defaulting to your main location.  Square looks at an item to sell has to be at a location.  Even if you setup your items you sell as Online Location, that may help.  

 

I just created 2 Test items with no location,   lets see what happens tomorrow for me.  Currently in my Square catalog both these test items show no location.  0 on the items page for location.

I really appreciate you doing that.
Issue is, in my industry, there is a ton of items that aren't produced year round. Some might not come back for years. We have to take off the location, because it's like a form of "deactivating" the product when it's not in stock.
So everything that doesn't have a location is an item we don't have in stock.

Hopefully that makes sense

Makes Sense but why don't you just make inventory 0 for items not in stock and place number in stock of the items you do have?   maybe for a work around you could: Make a Location "Out of Stock"  then have items moved there that way when you look for stock that is unavailable you just filter at location Out of Stock.  This might bypass Squares system thinking you can sell it at XYZ location because you have all locations OFF, and just have Square think it is only available at Out of Stock Location.   Hope that makes sense.

 

I just checked my items that I made for this test and here are my screen shots this morning.

Both mine are showing No Locations and a 0 on the item screen for locations available.  

 

I just ran into a human error of selling an Item online that is out of stock.....URGGGGG.

Counted an empty Box as Full of 1 Item and it sold last night.  Don't think the customer wants an empty box, lol.

 

I guess we sold the Display without the box, and then counted the box as having 1 in it.

 

Will have to call customer and see if a different color or similar item can be substituted later this morning.
