Mailing address vs physical address for IRS reporting

In both Q2 and Q3 I took advantage of the federal payroll tax credit. Thank you to Square Payroll for helping facilitate this for us. 

 

Problem statement:

- I received a change of letter address from the IRS saying that my business address had been updated. The letter tells us that a letter has also been sent to the new address that it has been updated to reflect. We did not get this letter nor did we request the change of address.

- I called the IRS and finally after some hoop-jumping learned that this had been prompted by the payroll reporting submitted by Square on my behalf.

- We do not have a mailbox at our physical location so all correspondence, including our federal credit check were returned to sender because we have no way to receive mail at this location. We have spoken with our postmaster and local mail outlet and their suggestion of opening a PO. Box doesn't remedy the situation because the mail would also not reflect that address. 

 

Solution:

- Please update your locations to include physical, mobile, and mailing and also allow a selection for mailing as the address associated with the EIN on a business so that it's accurately reflected on payroll filings. 

- This then allows us to receive both federal and state notifications for compliance and tax purposes at the correct address. (State of Oregon forms provide a mailing address option)

- This also prevents us from having to file a quarterly change of address form so that we properly receive pertinent mail to the correct location.

 

Our mailing address was used to file our EIN and BIN information and is the anchor address for all HR compliance. The physical location for our business does not have a postmaster registered address for mail delivery and is causing us major setbacks including returned federal credit checks and correspondence about our business. Additionally, as we prepare to open a second location we will want all of the associated mail with that second location to be directed to our mailing address.

Hi @JJ_ yeah, I reached out to the Payroll team and spoke with Chris about this issue and they currently don't have a solution for this in place. The location for the business where the payroll is associated is considered the only business address that will be used in filing forms.
