Square Inventory

Hi there!  Square or anyone with recommendations!  I have a B&M shop, Etsy Shop, and other ways that I sell my product that don't always go through Square, so if I sell outside of Square (POS), there isn't a good way to reduce the inventory manually other than ...well, manually.  With that being said, there are no options of adjusting the inventory that fit "sold elsewhere".  Only theft, received, etc.  Would recommend adding a "sold outside of square" as an option.  Thank you.

When selling on on other online sites what do you use for CC processing?  If you use Square for them it should be there.  Now if you do not use Square who do you use for Accounting?   I use QuickBooks and as long as my Inventory has the same name or sku as in Square as in my Online store and both use QuickBooks Desktop, my sales reduce inventory in QuickBooks.  The main thing I need to remember is to update inventory in Square and online after updating what I received in QuickBooks.

Hi there.  I sell on Etsy, and directly to other artisans using venmo or other apps.  Thus, I have to go back into my Square and manually reduce my inventory to which there is not an option reflecting "sold, or sold elsewhere".  I just have to select adjust inventory (sounds like adjusting due to error).  I have Square for POS and inventory; QB for bookkeeping which I initially used as inventory as well, but used POS for square and had to go in an manually adjust inventory there.  Square and QB sync but FINANCIALLY, not inventory.  So now that I am using square POS, square inventory, and have QB I prefer to not add ANOTHER system, which would happen if I switched my current website (that uses WooCommerce) to shopify.  I really wish ONE system did ALL the things. 🐵

Since you use QuickBooks, what I have been doing is each night I export my Square Sales information WITH items and quantities sold and do the same for my online store which is not through Square.  I make a few adjustments to a few of the columns so the date is correct.  Meaning Square does not export a column for the Price of Each item for your Items sales but exports Quantity Sold and Gross sales for an Item.  So I add a column 'Price per Item' with Gross Sales of Item divided by the Quantity sold.   Copy paste this down the spread sheet.  When I have this Spreadsheet formatted the way I need to match what I have set up to import to QuickBooks I use Transaction Pro Importer, 1 time fee of $300 currently for the most expensive version.  This get my Inventory in QuickBooks correct for Square.  Then I repeat for my other online stores.  Then when I have imported everything to QuickBooks, I download the inventory and upload it to Square and my other sites.  Now the inventory does not automatically update, but each day starts with the correct amount as of a certain time when I complete this.

This accountant has a bunch of YouTube videos how to import into Desktop or Online versions of QuickBooks.

 

You  can use this same setup for importing online sales as long as they export to a spreadsheet or csv file. 

My biggest headache with this was figuring out the Taxes and the Discounts.  But quantity is working great.

If I sale outside of my square pos I still enter it in my pos and at checkout I choose other payment options.  You will then be given the opportunity to record the payment however you took it (ex. Cash App, PayPal, Etsy).  Once completed your inventory will adjust to what you now have available.
