How to send detailed transaction info from my Square account directly to my Xero account

My Square account is integrated with my accounting account, Xero. I have been trying for a while to access a particular type of Square data in Xero - detailed itemised data that shows each of our products sold via Square per day. On the page on Square’s website dealing with Xero integration (https://squareup.com/help/au/en/article/5237-xero-and-square) it specifically says that the new and improved integration of Xero and Square includes:

"Detailed Itemised Data
New and improved data feeds that send How to .
That sounds like exactly what I want. But there is no other detail provided on how to achieve such data feeds.

Can anyone assist?

Hi @alison3,

Did you get this sorted?

I've just logged into my Amaka account and it doesn't look like there are really any improvements since November 2021 when they did this last big update.

Our Xero invoices still show as:

Grouped service per line x 1 qty for everything but then total $

I agree though, more detail would be great as we also semi-track our product inventory in Xero so it would be one less manual task!

I just found something which may actually fix this!

On Amaka's website, I noticed they have these different syncing options into Xero from Square:

So the one I'm looking for is 'Products breakdown' (far right in the above image) which looks like it can then better detail out the daily invoices with actual services and products instead of combined category line items.

Before you make any changes, I'd recommend cloning your existing Square integration in Amaka (so you have a copy in case something breaks in making these adjustments below). You do this here: amaka.io | Make your data magically appear in your books (click the 3 dots '...' and 'Clone').

Now open your live (green) integration:

  1. Go to Settings > Accounts
  2. Then scroll down to 'Group by' and change to 'Product'
  3. You'll have to re-map each item to the relevant category / account

But this is exactly the type of detail I've been wanting (I think anyway!) — will see how it works next week after we re-open and it starts syncing in this new format.

Let me know if this is what you were looking for.

Hi @alison3!

Just looping back on this, it's now been a week of transactions for us using these tweaked Amaka > Xero settings to track products, and it seems to be working much better for us.

One thing that is limited is I can't seem to actually link inventory we have counted in Xero which is a shame, but nonetheless at least now we can see more detailed information from our daily sales.

Have you had a chance to give it a go? Would be keen to hear if it worked for you.

Cheers 😊
