Hi @qwertykolp

Great question! You can set weekend and Public Holiday rates for your staff by following these steps:

  1. Sign in to your Square Dashboard and navigate to Staff > Team > Team Members.
  2. Select a team member to open their profile. A panel will appear on the right side of the page.
  3. Scroll down to Job and Compensation and click Edit.
  4. Click Add Another Job.
  5. Enter a new job name (for example, if their usual role is "Barista," name the new role "Barista - Saturday").
  6. Specify the tip requirements and wage.
  7. Click Save.
  8. Add as many wage types as required (e.g., Sunday and Public Holiday rates), and repeat the process for your other team members.

Please refer to the screenshots below for guidance.

Thanks for this!  But then how do you assign a weekend rate just to weekends and not everyday of the week???

Also is there a way to transfer this easily to multiple staff as I have 60 staff.....

Hi @AndrewWhites! Thanks for following up. 😊

Currently, there isn't a way to assign jobs to multiple team members in bulk. However, once you add a job for one staff member, the job title is saved in the system and can be assigned to other team members by following these steps:

  1. Navigate to Staff > Team > Team Members.
  2. Select another team member to open their profile. A panel will appear on the right side of the page.
  3. Scroll down to Job and Compensation and click Edit.
  4. Click Add Another Job.
  5. Select the existing job (e.g., "Barista - Saturday").
  6. Specify the tip requirements and wage.
  7. Click Add Another Job.
  8. Select the existing job (e.g., "Barista - Sunday").
  9. Specify the tip requirements and wage.
  10. Click Add Another Job.
  11. Select the existing job (e.g., "Barista - Public Holiday").
  12. Specify the tip requirements and wage.
  13. Click Save.

Once all team members have the required jobs assigned (e.g., "Barista - Weekday," "Barista - Saturday," "Barista - Sunday," "Barista - Public Holiday"), and you have set your team’s availability, you can start building your schedule by applying shifts to each team member:

  1. Navigate to Staff > Scheduling > Rota / Schedule.
  2. Select the time frame and location(s) from the drop-down menu.
  3. Use the All team members drop-down menu to filter specific team members or job titles.
  4. From a team member’s row, select (+) to open the 'Add shift' screen for a specific day.
  5. Verify the team member, job title (e.g., if scheduling for Saturday, choose "Barista - Saturday"), and date(s) are correct, then enter a Start Time and End Time.
  6. Select Save.
  7. Repeat the steps for each team member until you complete your schedule.

When you assign a Saturday rate job (e.g., "Barista - Saturday") to a Saturday shift, any staff member with that job assigned will have the Saturday rate automatically calculated on their timecard. The same applies for Sunday shifts with the "Barista - Sunday" job.

So am I right in saying that if the Manager accidentally assigns a Friday Barista shift on a Saturday, then the system doesn't pick up on this?

Can you limit "Jobs" to be available only on certain days of the week?
And if not, what happens in a business where they work past midnight?  Am I expected to roster them to midnight on the Friday job, then midnight to 1am on the Saturday job?

Hi @LisaHemingway1,

Currently, it's not possible to restrict job assignments to specific days of the week. As a result, if a Manager accidentally assigns a Friday Barista shift on a Saturday, the system won't detect this error.

If your staff work past midnight and qualify for penalty rates for those hours worked past midnight, you'll need to schedule them until 11:59 PM for the current night's rate. Then, create a separate shift starting at 12:00 AM for any hours worked after midnight, applying the appropriate job assignment for those hours.

If you have any other questions, please let me know. 🙂

Thanks so @Katie_SQ much for all this detail.  Im currently not using square for rosters but deputy as its a very detailed rostering app that integrates with square sales.  Unfortunately it doesnt integrates shifts/rosters so both my team need to clock in on both platforms.  Do you only use square for rosters??  Is it clunky or detailed? I have 80 staff so I need something great to help manage labor %...

Sorry for the delay getting back to you here, @AndrewWhites

You can use Square Shifts for both time tracking and creating team rosters. To learn more about Square Shift's features, check out this page
