Require a custom entry at point of sale

We have sales at various events (events are our Items).  At the point of sale we select the Item (event) and enter the sale price.  We then must have the artist's name, and the name of the sold piece, entered into the sale.  We can do this via Notes, but we need to somehow make the entry of this info "required" at every sale.  We cannot make Notes required, we cannot make every artist a Modifier (as we have too many).   

 

IS there a way to make Notes required?   Is there something else within Square that we've overlooked that would accomplish this for us?

Hi, @summitartfest ! 

 

Right now, notes can't be made mandatory. I will break down some workarounds below that can be used as good options. I usually recommend the modifier route, but as you said, you have too many artists for that. (which isn't a bad thing for your business I'm sure!!)

 

 

Workaround Options 

Option 1: Use Custom Variations + Placeholder Prompts

Create a generic variation for the event/item that prompts the cashier to fill in notes.

Example:

  • Item: "Art Sale – Event Name"

  • Variation: “Enter Artist & Piece Info in Notes ”

This adds a visible reminder in the POS flow, prompting the employee to fill in the details before finishing the sale. While it’s not required, it greatly reduces the chance of missing the note.

 

Option 2: Use Custom Attributes in Square for Retail 

If you're using Square for Retail, you can add custom attributes to products and orders, which can:

  • Help with reporting

  • Be visible on the Dashboard

  • Sometimes integrate with 3rd-party CRMs or exports

However, these attributes are not enforceable at POS either, so this is more helpful for tracking, not requirement enforcement.

 

I know this isn't the best solution, but I still wanted to provide some options for you.
