How to get rid of an accidental transaction labeled as a “gift card donation”.

Hey there! A customer came in looking to buy a gift card, so I followed the instructions to do so that was left near the register. The problem is that the note was for a “gift card donation load amount.” With the steps being: press charge, go to the bottom of page to other payment types, enter amount and put reason for donation…

 

I realized quickly, but a little too late that this was not what I wanted. Now it’s in the system as a transaction. If I refund it to make the drawer even, it asks me for the email to send a email refund. But no one should get a refund because it was a ghost transaction really… 

 

After that ordeal, I quickly googled and was able to assist the customer in purchasing a gift card the correct way. I need help getting rid of the first transaction if you have any pointers!! 

This is not a transaction for this account, it’s for the gift shop I work at.. I made my own account to ask this question.

One quick question: when you issued the gift card the correct way, did you use the same physical gift card that you used for the donation order?

 

If not, go ahead and refund the donation order and just use yours or the shop's email address. It won't matter at all who gets the email, and you can then use the zeroed card for another transaction later on.

 

If so, this is going to get tricky. Since you basically double issued the card, the card will have both dollar amounts on it. There isn't a way to remove part of the balance for the card, so I think your best bet would be to keep an eye out for that gift card number, and when it comes back in for redemption switch it out for a card with the correct balance on it. You could discount the amount 100% so that it makes the books balance. Then clear the balance on the original card.
