Expected Cash In Drawer Gap

We run multiple cash drawers for our band booster club, selling concession stand food and merchandise to raise money for our students. This past week was our first game of the new football season and we ended up making some price change edits as well as adding some new items to our item choices after we had already opened for the night. When we closed out the drawers, we noticed that we had about a $200 difference in cash versus the expected cash amount which is not common for us. Before we start going down the path of assuming one of the cashiers did something nefarious, is it possible that the mid-game changes we made to the pricing might have inadvertently created some if not all of this expected cash gap? Said another way, is there any chance the expected cash total was based off of thinking all drinks we sold should be at the new higher price when we now know that some of the early sales were rung up at the old price? We literally sold 500+ drinks and raised our price $1 about an hour into the game. This seems like a potential way our expected cash was off by $200.

Hello @OKCBandBooster and thanks for your question. First Question for you just to be clear...are you using cash drawers just to hold money, or are the cash drawers connected to a square device that keeps track of inventory? If you're just using the cash drawers like a metal cash box, there may not be an explanation for any discrepancies. It could be the price changes affecting this, but you'd have no computerized reporting of inventories sold and at which prices.

 

BUT if you're connecting the cash drawers to a Square app, which can also track inventory and prices, you'd be able to keep the best accounting of the cash drawer. For example, if you have specific inventory items listed in a Square App (for example, soda for $1, hotdogs for $2)  and you change the price in the app in the middle of the event, the app would keep accurate accounting of the price change, and your drawers should be correct.
