Deactivate and create new with same email address?

We've closed our business and the buyer want to create a new Square account with the same email address that we used since it's the business name.  Can we deactivate our account to remove all our data/history/transactions/etc. and then have him create a new account with the same email address?

Solution

Hi @CLBC ! Thanks @Candlestore for trying to assist here! I've provided some information below.

Important Notes First
  • Business history/data must be preserved for tax purposes
  • Square accounts cannot be "wiped clean"
  • Email addresses must be unique in Square's system
Recommended Process
  1. For Your Account
    1. Before Deactivating:
      - Export all transaction history
      - Download important reports
      - Save tax documents
      - Remove payment cards
      - Transfer any remaining balance
  2. Email Address Change
    1. Your Steps:
      1. Change your account email to a different address
      2. Deactivate your account
      3. Notify new owner when complete
Best Practices
  1. Before Deactivation

    • Download all reports
    • Export customer data
    • Save tax documents
    • Remove bank accounts
    • Clear team members
  2. Data Preservation

    • Keep records for tax purposes
    • Save transaction history
    • Maintain business documents
    • Store securely
Steps for New Owner
  1. After Your Changes
    • Create new Square account
    • Use desired email address
    • Set up fresh business profile
    • Configure new settings
Important Reminders
  • Keep account access until tax season
  • Maintain records for required period
  • Consider business sale documentation
  • Preserve transaction history

I hope this helps!

@CLBC ;

That is more of a Technical question for Square.  This forum is mostly monitored by a few Square employees but mainly has other Square users like myself answering Questions.  So the best way to get this answered would be to call Square Support, and as its a weekend you probably will not get ahold of anyone till Monday to answer this type of Question.

You should Download the data that you want to give to the buyer like :

  1. Your Catalog
  2. Customers

The Transactions you can print a summary, but not sure why as you can not upload your Sales Data to another account.  Your Sales were yours and will not effect their business but only to show which Items sell better during different seasons for example.  So all your sale data could be downloaded so the buyer can see it to use as a refrence but it will not be able to be uploaded to their new Square account.
