Categories for Online Services which vary in price

Hi everyone,

Currently we have 5 separate categories that are all paid for using the one online payment link direct from our website.

We would like to be able to get a more detailed view of this revenue. I would like to be able to break it down into 5 separate categories.I previously made an enquiry with Square Support so instructed me as follows:

3. Update Payment Link Settings:
o Go to Settings > Payment Methods > Payment Links.
o Edit the existing Payment Link used in your Xero invoices.
o Assign the newly created team member ("Xero Invoicing") as the
responsible party for transactions made through this link. Amaka

I was then subsequently told I am unable to allocate to a team member.

So my question is, can I create a separate payment link for each category so that I can obtain a report on each one? According to Square Support this is not possible.

the customer doesn't choose the amount. We have set prices but they are calculated depending on the pick up and drop off location. So as you can imagine there are many many different amounts.

Our system generates the payment amount... so the link just needs to be able to enable them to pay what our system generates.

The amount can vary depending on the locations. I would anticipate having one payment link category called VIP Transfers.

With the VIPs there can be hundreds of price variations depending on the pick-up and drop off locations.

In addition we have 5 other online services that I wish to also apply this.

Does anyone have a 'work-around' or can you suggest how I can overcome this issue so I can have clear accurate reporting for each category?

Hi there @PR2005.. Thanks for the tag, @Sammie_C.

I'll admit this is not only interesting, but very complicated.  I can't imagine that any POS system has been set up for this level of complexity and customization at the item level.  Of course, the issues are multiplied by the fact that Xero comes into play.

I can't think of any possible workarounds that don't run into a solid wall at some point.  I even tried to figure out if you could use Zapier/Pabbly to possibly automate this, but even then there doesn't seem to be a way to reach your ultimate goal.  There are just too many variables and possibilities.

At first, I thought that using payment links was the culprit here.  But even if you abandoned those and used the traditional online store with multiple categories and multiple copies of the same items, you'd still have the issue of dynamic pricing that is dependent on drop off location.  With a full online store, it is possible that you could handle this with shipping rate customization, but since I'm not a shipper I can't possibly address how or even if that would work.

I'm sorry not to be of more help.  Honestly, given the uniqueness of your situation, I'd recommend that you hire a competent software engineer.  There certainly has to be a way to do what you are wanting to do, but with the tools available to the general public I can't see a way that doesn't involve some pretty serious software design and coding.

Hi @PR2005, thank you for reaching out here on the Square Community!

Unfortunately I do not personally know of a workaround for this.

I'm going to tag in a few of our Square Champions and see if they know of any available workarounds. @TheRealChipA@Candlestore, or @JTPets, do you all have any knowledge on this?
