Hi! I run a coffee shop and we use drawer reporting to make sure that accurate deposits make it to the bank. Is there a way to add the "Actual Sales" category to the scrolling menu so that you can see them without clicking into each individual one? This would make checking on deposits quite a bit easier.
@Mochanutcoffee Okay! If I am understanding correctly I'll share what works for us!
In our shop we have a set number we start the drawer at everyday. Let's say $100 to keep things simple. This includes coin as well.
We also have a deposit log for the week and reusable envelopes we put the deposit in each day.
Our Log has 5 columns
Date, Starting Cash (which is the same each day unless we have an event coming up and we want to start the register with extra cash), Ending Cash, Deposit, Initials of who closed the drawer.
Each closing shift the manager or another shift lead counts the drawer and compares it to what is expected in the drawer. This is figured out by adding the cash sales to the starting cash amount. Our manager has access full access to reports so she is actually able to see what is expected in the drawer without having to do the math. You can set that up in team permissions.
Next they would compare what they counted to what is expected and note any discrepencies. (Rarley do we have something other than what is expected. The few times we have were due to a miscount or a wrong deposit pulled the day before. )
Anywho when they close the drawer in square it prints out a small report that we also write the deposit on. We figure out the deposit by subracting our starting cash from what is in the drwer. say cash drawer ended at 500, we want to start the drawer at 100 the next morning so we deposit 400. That gets written on the deposit log as well as the drawer report paper. The deposit is taken out and put into a reusable envelope along with the drawer report.
At the end of the week we pull the deposits out of the lock box and count/ compare to what is on the deposit log!
It sounds complicated, but it's really not and it works amazing for us and is easy to train new shift leads on!
I really hope this helps you!!
Cheers!
@Mochanutcoffee Hi! We are a coffee shop as well and use the drawer report for our deposits as well.
I don't know I am quite following your question! are you wanting the drawer report and sales report on the same page?
Hi! Thanks for the response. No sorry I don't think I used the right words there. I'm thinking of the actual cash sales. That way at an at-a-glance view, we can see how much each deposit amount should have been for the week. Or if not, maybe there's a way to export the drawer history with that info on it?

Oh that sounds great! Just a slight process tweak for us I think, so it's not too complicated at all. Thanks for putting all this down for me, I really appreciate that!
At some point, it would be nice if square added this column so the accountant or bookkeeper can login and simply scroll through the bank deposits and check them against what we said cash sales were for the day, but for now this will work just great.
