Can I prevent account sign out on terminal

Hi,

My terminal is signed in to my account and is usually always on or dormant.

When I was not there a team member rang me to say that the terminal was requesting to be signed in and they could not use it.

I had to give my account sign in details to a team member who should not know them enabling that person to log into my account and access sensitive information if they wished to.

Am I doing something wrong? Should any team member be able to scroll down the screen to the sign out button or can I prevent this?

Hi @Frostyboy! This is something that you can do if you're using Team Management. There's a permission level that lets you prevent staff from signing out of Square. 

 

If you aren't using Team Management then I recommend reading more about it here as it's a lot for a forum post! The free version will work for what you need. 

 

If you are using Team Management then here's what you need to do:

  1. Head to your online Dashboard and go to Team > Permissions
  2. Select the permission level you want to change (Team Permissions if you're on the free plan)
  3. Choose "Account and Settings"
  4. Make sure that "Allow Signing Out on Shared Points of Sale" is not selected.
  5. Save your changes.

You also have to ensure that the terminal has its security settings enabled. In your Terminal:

  1. Open the menu and go to Settings > Security
  2. Enable Passcodes.
  3. Ensure that Team Passcode is also enabled if you're using the free version.

I also forgot to mention: if you think that Team Management is too much for your needs then I recommend using a device code instead. It won't prevent your staff from signing out of the terminal, but it will mean that they don't need your email/password to sign in again. This is what I used before Team Management; I had a device code taped to the back of all the iPads at our store in case staff had to delete the app or accidentally signed out. 

 

To make a device code: 

  1. Go to your Dashboard online and choose "Devices" in the menu. 

  2. Select "Create Device"

  3. Enter a nickname and choose "Create"

  4. Sign out of your terminal if you haven't already. 

  5. On the sign-in screen, tap “Use a Device Code” and enter the code.

That device code will only be able to be used with that terminal, it cannot be used to sign into any other device. If someone signs out of the terminal then they can sign back in with that device code.
