We are a school and there are many groups within the school that use the squares. I want to find a way to make the facility more user friendly for them and prevent them having to scroll through hundreds of items added by other groups. Is the solution to add locations for each group and personalise the devices that way?

Square has the concept of locations. Each can have it's own inventory. I think this would work for you:
