Find Items not assigned to a Category and "Unavailable"

This question relates to our Square Online site offered by Weebly.

Our wholesaler automatically adds items we purchase to our Square database.  These then sync with the Weebly database.  I initially had Weebly configured such that items would appear for sale as soon as they were added by the wholesaler but this was sometimes days before we received the items and so I changed the option to make it such that they are "Unavailable" when added.

We now have some new items in the Weebly database and I need to find them such that I can set them as Available and assign them to a Category.  Without having to pull my invoice and enter the name of each item into the Items filter, how can I do this?  I'd be amazed if there wasn't a way to filter by the Unavailable flag or the Category field but I cannot locate this capability anywhere.

Could somebody point me in the direction of how to accomplish this please?

Thank you very much,

Jason.

Hey @FadedPoppy

Welcome to the Community!

There is an option to sort by Category in your Dashboard. Go to your Item Library > "All Category" drop down.

Please let me know if you were looking for something different.

Thank you!

Hi Kassi,

Thank you for your response and apologies for taking so long to get back to you.

I think being able to sort Items by Category will give me what I need.  However, I'm unable to locate an "All Category" dropdown in my Item Library.

Could you possibly provide a screenshot with this option highlighted please?  I've attached a screenshot of how the Item Library appears on my end.

Thank you in advance and regards,

Jason.

Ah, I see the disconnect here. The "All Categories" view is in the Point of Sale Dashboard, not the Online Store.

If you want to make changes to the Categories - I would recommend starting there. Then, the Square Sync will be able to update it in your Online Store.

Hi Kassi,

Ah - is this something that's changed recently?

Whenever I've managed Online Store Categories in the past there's been a note stating that PoS Categories don't sync with Online Store Categories.  When I looked just now I see a new option:

To setup your online categories quickly,

Since I've already setup unique Categories in our Online Store what's going to happen if I click this?  Will the existing Item : Online Store Category relationships be retained and only those Items not currently assigned to an Online Store Category, but which are assigned to a PoS Category, be assigned?  Or will I end up with duplicate Categories?

I don't want to make matters any worse.

Thank you,

Jason.

@FadedPoppy

Since it's copying over from the Point of Sale Dashboard, it won't remove any of the categories you've already created. There is a risk of duplicate categories, but they can easily be removed.

Thank you!

Hi @JohnC58 - Alanah here, stepping in for @Kassi_

You can manage and delete your site items Categories from this page of your Online Store Item Library.

I hope this information is helpful but please do let us know if you have any additional questions.

Individually...by item.  This really will be no better than going individually by item to add the category manually.  I have over 4000 SKUs in my library...I don't want to visit each one individually to see if I need to add a category or remove a duplicate category.  Any other option?
