Can someone please help me with "resources" function?

I just recently started the premium subscription in order to use the "resources" function. But, I can't seem to get it to work properly. My business is actually very small (just me working), I offer Massage Therapy and Manual Osteopathic Therapy (MOT). My problem is that I only want to do 1-2 Massages in a day and offer the rest of the openings to be MOT only. I thought that the "resource" option could help with that, so I created a resource called "Therapy Room 1", and then I created 3 "employees" - all being me. I made it so that each "employee" could only do 2 services in a day and then I assigned the resource "Therapy Room 1" to ALL my services. In this way I was hoping that I could open my (3) schedules for 9am-3:30pm daily, assign what services I wanted to offer for each "employee" (1 doing massage and the other 2 doing MOT) and clients couldn't double book the same appt. slot online because the resource needed for the appointment was already being used. Well, this isn't working at all! Clients can still double book the same time even though the resource is assigned to the appointments that are double booked. I'm hoping I can figure this out because this is the whole reason I changed my subscription from the free version to the premium one.

---According to this article, I should be able to do it:
"Resources can also help you restrict the number of appointments during the same time slot. For example, you might have three staff members available for private shopping appointments, but you only want to have one appointment at any given time. In this case, you can name your resource shopping slot and assign it to your personal shopping service, so one private shopping appointment can be booked online for any given time slot."

Hi @WholeBODY , thanks for posting on the Seller Community 🙂.

 

Even though you can use Resources to restrict the number of appointment within a time slot, I don't believe it's the correct tool to use considering your business set up.  

Instead I recommend setting up a Daily Appointment Limit, to set a maximum number of reservations bookable online by staff member or location. To do so:

  1. Access the Appointments tab of your Dashboard.
  2. In Online Booking, click on Settings.
  3. Scroll down to Daily appointment limit and toggle the functionality On and adjust the settings.
  4. Click on Save on the bottom right.

Thanks for your reply @Lou8, yes, I would use the daily appt limit as well but I don’t want to restrict the times for clients to book those appts. I’d like to open my schedule 9-3:30pm, for 2 team members (both being me, so that I can limit the types of appts booked that way) but I don’t want to take the risk of ppl being able to double book me (Thus using the “resources” function). Does that make sense?

Hi @WholeBODY ,

 

So I recreated the following settings on my own account:

  • create 3 services (1 massage service and 2 MOT services).
  • create a resource Therapy Room 1 and assign it to all services.
  • create 2 staff and assign the services accordingly (one staff doing the massage service, the other doing the MOT services).
  • set a daily appointment limit to 2 per staff.

When I go to book multiple appointments, the Resource functionality is working as expected, and I'm not able to book the same time slot for the different services. For example if I book a 1h massage session at 9am, I can only book another massage or MOT at 10am that same day.

 

It's tough to pinpoint what the issue might be on your end as I don't have access to your account information. For now I'd recommend checking your settings and make sure that:

  • all services have the resource applied,
  • all services belong to the correct location,
  • services are correctly applied to each staff,
  • you have added availability (hours) for each staff,
  • all staff is bookable online.

Let me know if you're still having issues after going over all your settings again.
