Scanning inventory counts (Square for Restaurants)

We have a simple bar and kitchen. We bought the handheld unit with barcode scanner so we could scan as we do bar inventory. For example, if we have 2 bottles of a vodka at the bar and 9 in the stock room, is there any way to scan the barcode while doing a count and have it auto-add 1 unit for each scan? This seems like it should be the default behavior but I can't even figure out how to do it manually.

 

Current behavior, when in Square for Restaurants using the handheld in standard mode and going to cycle count: scan the barcode, item pops up and screen asks to "add 1" click that and it adds the item to the list - but then you have to tap on the item and manually increase the quantity to what you have. It's 1 scan, followed by 5 taps just to count 2 bottles. It would be incredibly faster just to scan twice.

 

It gets even slower once I move from front bar to back stock, because now I have to sift through all items already scanned and add to the item listed, instead of just continuing to scan items and have them increment. What am I doing wrong?

Based on your description, I don’t believe you’re doing anything wrong. What you’re experiencing aligns with how Cycle Counts currently function in Square for Restaurants.

At this time, scanning an item during a count identifies the product and adds it to the count sheet, but it does not continuously increment the quantity with each subsequent scan the way many inventory management systems do. I can definitely understand why that feels counterintuitive, especially in a bar environment where scanning the same bottle multiple times would be much faster than manually adjusting quantities.

For businesses counting large inventories, particularly alcohol, the workflow you described can become time-consuming:

  • Scan item
  • Add item to count
  • Locate item in count list
  • Manually adjust quantity

rather than:

  • Scan item repeatedly
  • Quantity increments automatically

The latter is what many users would naturally expect from a barcode-driven counting process.

One thing I’d recommend is submitting this as a feature request if you haven’t already. The use case is strong, especially for bars, liquor stores, and restaurants with high inventory counts. Having a “scan to increment quantity” mode during cycle counts could significantly reduce counting time and improve accuracy.

For clarification, are you using the Square Handheld or a separate barcode scanner connected to a Square Register/Terminal? I’d be interested to hear if other restaurant sellers have found a workflow that reduces the number of taps required during counts.
