What's the one tool or app you absolutely can't run your business without? Whether it's for sales, scheduling, content, or keeping your sanity... drop your must-have in the comments! I'm always curious what keeps everyone running smoothly!
I'll start, mine is actually 2 apps that keeps me from going insane putting up products.
Photoroom: I use photoroom daily for background removal of our product items, it is fast and does a great job removing backgrounds. It gives you more control, editing flexibility, and access to your entire file system. It's perfect for sellers who post on multiple platforms and want branded, polished photos.
side note: I like PhotoStudio, but it is limited, I does a good job removing backgrounds but it stops there. I store my photos in specific folders and PhotoStudio only gives you access to the photo library.
ChatGPT: This has been a timesaver for me, with so many items we put up, I use to find myself just staring at the description section trying to figure out how to describe an item. ChatGPT takes that away. Every description sounds polished and friendly, It will add keyword content to help with SEO.
It remembers my preferences so I don't have to remember them for myself, for instance: ChatGPT knows if I include shorts in my description it will automatically put in the Key Features shorts have Elastic pull-up waist or if I include romper it knows to include snaps on the bottom for easy diaper changing.
It takes a little while to setup your preferences, but when you do life is much easier and you can add or change preferences at anytime.
So what app or apps help you make it through the day?
Besides Square, I use ChatGPT Pro and Canva Pro, and of course all the google products like workspaces, sheets, docs, etc.
More recently I've started using Scrivener to keep our social media content organized and especially to write out operational procedures.
I know I can look it up, but I have not heard of Scrivener... can you fill me in more? I know someone that would be highly interested in that, especially if it happens to be free...
Scrivener is a writing application, and not free. Not something strictly for social media content or procedural writing. It's meant for any writing but usually used for writing manuscripts and screenplays and such. It lets you compile into different formats for submission and publication.
It's a little tricky getting used to and moving around in, but there's tutorials and walk-through videos that help. Once you get familiar with it, there's actually a lot of customizations within the program and then also as add-ons. I haven't played around with that too much yet.
I'm not sure how popular Scrivener is now since there are other applications that can do the same, but it also had close ties to NaNoWriMo (National Novel Writing Month) a 25+ year old non profit that would run an event in November to encourage writers with consistency they can accomplish their dreams. 30 days to 50,000 words. Even if you "fell short" you'd see great progress and it was overall a very positive movement until it stepped into 2 major controversies with AI & a moderator so NaNoWriMo shut down earlier this year.
I like Scrivener specifically because it's an actual program (like back in the day, download a program on your computer) it's not all cloud-based like everything else is with apps. And it was a one-time payment to buy, not a month subscription or anything like that. There are some drawbacks to it tho because if my harddrive crashes there goes all my work with it, so a lot of Scrivener users save their work to a cloud drive or dropbox (if you have iOS you have to have dropbox).
Also because it's stuck on my computer, I can't just switch devices (like to a tablet) and keep writing. I bought both a windows license and a mac license, but that means it's also two separate programs so to switch devices and keep writing I'd have to use something like dropbox to transfer the manuscript over. I'm always on my laptop though so I haven't experienced that. Also Scrivener has an iphone app but not an android app, I only have an android phone, so I don't know what it's like on mobile.
The bundle is ~$95 but I waited until I found a coupon and got it for ~$76. It doesn't ever really 'go on sale' that I've seen, but there's occasionally influencers who will have promos coupons for it. Not sure if that's still going to happen since NaNoWriMo is gone tho. But if you only need one license it's about ~$60. These are one-time payments, not monthly, so I saw it as worth it for what I got.
This is a lot of great information! I'm not opposed to purchasing a program that's going to help me format for publication. I write in Word and only on my PC. I don't own a laptop because I cannot handle flat keys lol... I also don't own a tablet. I'm old school. Keyboard or pen and paper. I pay monthly for an online backup service because my computer is our business lifeline. So, like you said, if my hard drive goes down, I still have all my data. I just get a new computer and reload.... which I'm going to have to do soon anyway. I've been balking at the idea that I have to do 11. My puter's processor is not eligible for the upgrade, so I literally have to purchase a new puter, even though mine is not near full or having any issues. My business cannot run without QB and Microsoft is no longer going to support the security for 10. So if I don't upgrade to 11, my QB data won't be safe. It sucks! I hate 11 and don't want an app based puter!!! I will see what I can find to buy it online. Thank you!!!
ChatGPT seems to be the main one here but Photopea.com is great! it's a free photoshop.
Great question! I actually use a couple of essential tools every day to run my business — especially when managing content and visuals for my real estate platform.
Photoroom is amazing for editing property images. It removes backgrounds quickly and helps me create clean, professional visuals for listings and social posts. Huge time-saver!
ChatGPT is another tool I rely on heavily. I use it to write property descriptions, generate blog content, and make sure everything is SEO-optimized. Once you set your preferences, it remembers your style — which really speeds up the process.
I use both of these tools to manage and grow my website, and they've made a massive difference in productivity and content quality.
Curious to hear what everyone else is using to stay efficient!
I know these are both huge timesavers for you and great for business, but do you ever feel that either or both of them are not being completely honest with your clients? How do you personally choose to make sure it is?
We're becoming property investors. We've bought two so far and we've looked at dozens. We often find that these "photoshopped" images of properties are really detrimental in the value of the property. It also doesn't help when the photos are from a different time period than what the property looks like currently. I'm not sure that every agent works to get current photos either.... we drove over 3 hours away last weekend to look at a property that had great photos. The property does not look at all the same as the photos. Granted, we live in MT and you can't get anywhere in the state without traveling, but it's a lot of miles to put on for a disappointment.
I also struggle with the idea of letting AI write script - for anything - because it doesn't sound as natural as a human conversation and I feel like most of it is a sales pitch.
Thoughts?
I use a lovely flask every day ! 😁
🤣🤣🤣love it
Material Requirement Planning is essential for controlling our production so we use a software package that integrates with Square. It generates demands bases on sales and helps plan and schedule production controlling raw material inputs and resourcing.
Square, of course! We wouldn't exist without it.
Great question! I can’t live without a few tools that keep my business running smoothly:
QuickBooks – keeps all my financials in order.
AI tools – a huge help for marketing and creative content.
Google Drive – my go-to for keeping files organized and accessible anywhere.
Square Reports – I rely on these to track top sellers and spot trends.
I've thought about using Google Drive - I don't often need anytime/anywhere access... but in this day and age, I also worry about getting hacked and losing it all. Does it worry you?
I don’t worry about it at all. I actually feel better knowing my files are on the cloud rather than just on my computer. Being able to access my files from my laptop, desktop or phone is a huge thing for me. There’s a higher chance of losing everything on a hard drive than in the cloud. Plus, almost everything now is cloud-based. Google Drive is one of the most secure services available. With any service, it’s always a good idea to set up two-factor authentication to help prevent hacking.
Thanks! Fortunately for me, I don't need to look at stuff remotely very often. I pay for a backup service in case I ever get hacked or my computer dies, so I can literally just reload all my files.
Can be obvious and say Square haha. With two venues, the ability to check on them live and quickly is a bonus.
Facebook, and a group scanner I pay for to scan for keywords. Being a tourist destination, when people say "what should I do around here" and I can be Johnny on the spot, makes life great.
Ben, I don't Gram or Tok lol... but I do FB and I followed you a while back. Not sure if I told you that. I also shared your page with our family because my sister-in-law is NUTS about her chickens!!!
Haha thanks! I have been as slack on the socials as I am here, so i hope you/she got somee indication of what I do haha
Yes, definitely. Traveling out of the country for them is not really an option. If you were stateside, I'm sure they would visit!! I've always wanted to visit down under but not sure I will ever make it!
Apple Numbers is by far the application I spend the most time in. 100s of spreadsheets with all our business plans and sales and scheduling etc.
maybe a distant second in time used if we aren't talking about websites or apps like Safari is ChatGPT. That will grow over time to get closer to Numbers.
