How can I create a separate email login for the Dashboard, and view reports for my invoices?

The title of this thread has been edited from the original: Help please. We have a new client that has made a mess of square and we need get it right.

Can you advise if there can be more than one log in and if so how do you get that to happen so that bookkeepers can access the back end to allow it to run smoothly?

Second question where can I find a detailed report on all invoices created. There are regular customers that we need to check to see that everything is paid and there is nothing outstanding.

Thanks in advance Raylee

Hi @Raylee!

Welcome to the Square Community! We're glad you joined us. I’d be happy to answer your questions. 😊

For future enquiries, if you're bringing up multiple topics, it's best to create a separate thread for each of them. This helps us keep conversations organised, and allows other Sellers to find the information they need more efficiently.

Add and Manage Team Members

You can add team members through your Square Dashboard, which will allow them to sign in to the Square Dashboard using their own email address.

To set up a team member profile, you'll need some personal information, such as an email address. An invitation will be sent to the team member via email, which they must accept within 30 days to complete the sign-up process.

For detailed instructions, check out this Support Center article.

Manage Access and Permissions

By adding employees as team members, you can manage their access to your Square account, configure permissions, and include them in other Square services.

All Square accounts come with a customisable team permission set, which you can configure to limit access to certain areas of the Dashboard or Point of Sale.

More permission sets are available with certain subscriptions, such as Square Shifts or Square for Retail Plus, which include two permission sets. With Advanced Access, Square for Restaurants Plus, or Square Appointments Premium, you can create unlimited custom permissions for different access levels.

For more information, visit: Create and edit permission sets.

Square Invoices Reporting

You can generate a report for all outstanding invoices within a certain time period by following the steps below:

  1. Sign in to your Square Dashboard and navigate to Payments > Invoices > Reports.
  2. Use the time period filter to set your desired range (e.g., every 15 days, every 30 days, or custom).
  3. You'll then be able to see all outstanding invoices for the selected time period.

Alternatively, go to Payments > Invoices and filter by categories such as sentoutstanding, or overdue to keep track of your invoices.

I hope this helps! If you have any other questions, please don’t hesitate to reach out. 😊
