Hi @sargos AI for me has to be almost invisible, doing those tasks that AI can do but without me knowing its doing it. If I have to instruct it too much, if its not intuitive then it may be a little too cumbersome to use. 

 

We have used AI for blog generation but I have read that AI will be changing the way searches will be conducted. It would be nice if AI could look at my website, for example realize that our business sells chocolate, we sell all year round, peak times are Christmas, Easter, Mothers Day etc, we sell dark, milk and white chocolate, we have chocolate for suitable for vegan diets and then have AI generate the information be it 'blog' content in the format that the new AI searches will like to see. Take the human out the equation. AI should know what AI searches would like to see and in what format.

Definitely for sales predictions.  Consumer behaviour based on what time of the year and weather patterns as our sales is very dependent on this. The system needs to be able to work in retrospect, put all past data in it and look at weather and events in the region. The system also needs to be able to receive feedback of current sales and arguments why it was more or less than expected so it can learn for the future.  If we fine tune this, we can reduce foodwaste and excessive labour to the max. That would be amazing

What are some of your biggest questions about using AI to improve your business?

Right now, using AI is like shooting a pigeon with a Bazooka.  There is so much of it, and it is so overwhelming and massive.  I call this time "The Golden Age of AI" in our society.  Simply put, the guardrails are off.  Every major company is in a race to be the dominant player in AI.  For us and Square, below are some questions that I would like Square AI to help with.

  1. For AI: Can you analyse our top sellers by season (Fall, Winter, Spring, Summer) for our 19 locations?  What are the most popular smoothies by season?
  2. For AI: Please review our loyalty system. Can you help us determine the best way to optimize points and enhance our existing program to increase sales?
  3. For AI: Please look at our email and text marketing over the past year.  Can you tell us the RIO on which drives more traffic vs. the cost?
  4. For AI: What are the most successful sales drivers for the year on our marketing programs?
  5. For Square Team: Can we update our Brand Kit like in Canva? We can then use that to enhance existing marketing programs.
  6. FOR AI (HR related):  Can you auto-run a report for time and attendance, and draft attendance warnings for habitual attendance violations.

What are some of the biggest unlocks you’ve found by using AI so far?

We use AI for everything now (see screenshots).

    1. Facebook.com/kevajuice is another example of AI content generation.
  2. Legal:  We eliminated our legal team and have the Legal GPT in our OpenAI portfolio.
    1. Check out www.keva.com , which is 100% AI-driven now.
  3. HR: We don't need an HR team anymore.  It drafts all necessary documents and cross-checks the legal issues by state.
  4. Canva, Capcut, Veo 3, and Sora combined can generate some fantastic content.
  5. We use Photoshop to expand images, fill content, and edit data.
  6. Square, Zapier, and AI.  We use AI to monitor our freezers and equipment in our store.  When there is a problem, it will now print the issue for our team on the POS Printer.

@indianathomas Oh...tell me more about the freezer integration how you are doing it!!!

 

On your marketing, are you giving it images and having it put it together for you? almost like the post editing?

 

On legal, I cannot tell you enough how good this is.  IT REQUIRES that you still look it over, but you can do what you would pay 300$ bucks to attorney with no problem fast and tailor it.  My wife is using it extensively at work for a regulatory filing and it has paid off tremendously  (they asked who she hired for an attorney).

For freezer integration:

  1. We have TempSticks in all our stores for freezer integration.  We just use it in the freezers becuase that is the most perishable. (www.tempstick.com)
  2. Each Tempstick has an Alert setting. If the freezer temperature rises above a certain point, the Tempstick will text / email the manager or district manager.
  3. One of the accounts for the Alert is set up to Gmail.
  4. Gmail is set up to a third-party API called Zapier (www.zapier.com)
  5. Zapier is linked to the Square API.  If the Alert happens, it also sends a message to that store's POS Printer, warning the employees that the Freezer door in the back room may have been left open.

 

Marketing:

Yes,  as I get better, you can import your already existing images and have it regenerate.

@indianathomas That is a novel way to do it.  I never thought to have it print something out in the store.  I have a cooler that always goes off, and I know they left the door slightly open.  Temp sticks are by far the most economical and "best thing since sliced bread".  I have switched to them exclusively as I replace my older bluetooth ones.

I pretty much only use AI for brainstorming ideas, or writing copy that doesn't need much heart or human-touch, or as a more comprehensive google search. I've tried using Square's AI but most of the time it doesn't answer my question properly.

 

At the end of the day, it's just a tool. I don't think it'll take over as much as people worry. We'll just have to adapt and refine our skills for things that truly only humans can do.

Reading through all these replies is amazing. I realize I'm not thinking outside the box, really utilizing AI to it's fullest or even it's halfest.

 

It still seems to come down to what do I ultimately need, what's the end goal? Then I can work backwards from that, using AI to get me to where I want to take my business. I'm the human driving the ship with AI as the spyglass.

 

For example currently I don't need stop counts or anything too crazy since we're just a little shop, but I could definitely see in the next ~5 years getting to the point where we should have processes like that and it should absolutely be automated. AI could automate or simplify that stop count process for us so it's not a burden to our workload.

 

Reading through what everyone else is doing with AI helps with my brainstorming for the future and assessing if there's anything I'm not currently using AI for that I could or should.

@BrianaJo It helps to realize that we are teaching AI to think like us, but to do so with lots more information and data’ points than we have. We need to teach it to focus. The more we refine our queries, the more we tell it “this is what we limited humans” want and need, the better it will become. 

Still, I find it instructive to figure out what the AI interpreted me to ask, vs what I think I asked. It helps me to be a better “asker.”

 

i hope that makes sense. In my mind AI limitations are more about my queries than about its interpretations.

I'm undecided about the use of AI. I do have my concerns about data security when people plug company sensitive information into the little AI helpers.

 

I also wonder if it will ever become a marketing/selling point of difference to be an AI free business? I know AI is used all over the place these days, some in more, others in less obvious ways. Creatively thinking will a company become artificially obvious, overly polished, perfectly presented from copy writing to glossy perfect pictures with no imperfections. Will the only way to stand out in a crowd to be AI free and less than perfect?

@doc_choc I am an early adopter and if my therapist saw my ai chats, she might need therapy....

 

I see you having a point, what I think you will see is an ai arms race like marketing and search engine placement in the early 2000's.  Eventually you will see a shift to people recognizing AI versus just thinking you are smart.  The AI "slop" will eventually weed itself out as it loses it's novelty.  

 

The real issue I see with AI is the wait and see...like yourself maybe...I would get ahead of it.  It is changing so fast, that if you don't, you might get left behind and not know it...or you can use AI to catch up...

 

But it is a GREAT assistant if you use it that one.  If you get lazy, it will bite you.

 

And a note, if the AI overlords take over....standing there saying I knew this would happen, it is all your all's fault!!! will still end up with the AI taking over, moral high ground would mean nothing anyway.

Hello,

 

1. I use it for posting advertisements and managing my inventory. 

2. I track not just sales but also trends. For instance, I can ask how many beige couches were sold today and check on all my top-selling items throughout the day. Even though all my sales for the day are recorded after closing, I prefer to place orders beforehand. This way, I can monitor trends on what's popular and selling, including which colors are in demand.

 

I created a separate tab for ordering supplies, like cleaners and paper towels. I keep track of these items; my rule is that if they are half full, I need to restock. I don’t even have to be at the store to check. I could be at Costco, and I can simply ask about supplies, and there’s my list.

 

I must admit, I didn't set up my office system myself—someone else did that for me. However, as long as everything is properly entered, it pulls up the information I need. I use it for spell checking, inventory management, tracking trends, and maintaining a shopping list. I analyze daily sales compared to last week’s figures and keep track of new customers for the week. I compare the data from the day to the night, and it has been accurate as long as the inputs are correct. That's the biggest key I have found is entering it like you're going to ask it. If not the results are not correct. 

 

I don’t use it frequently for customer interactions, but when I do, it’s usually for specific questions like, "What color rug would go best with a taupe couch and light tan curtains?" It provides suggestions, and I can show customers pictures. I'm selective about which customers I assist in this way because I still value that personal connection that differentiates small businesses from big box stores. That's where human judgment comes into play.

 

Overall, I think it’s a great tool, especially coming from someone who wasn't initially keen on AI. When used properly, it has saved me time, which translates to saving money. Hopefully, this helps. I could go on for pages about how much I do use it now.

I use AI to help with some marketing ideas and wording. Again I feel I could use it better if I understood the correct prompts. I have also used AI recently for some reasoning and idea creation as well as guidance with some HR.

 

I think with the correct guidance and education on AI it can be so powerful!

More reliable posting of charts/reports when asking the questions is the major complaint. Overall, it does seem to be able to answer questions that would of normally needed to be exported to excel and converted before you could do any of the calculations. We would love to see more complex understanding of transactions such as what grouping of items is seen together or what items usually link to a secondary purchase or even a refund.

 

The biggest unlock was like above where it just makes the process of drilling into the data easier. It not only compiles the data but also presents it for verification, this could have huge effects on how long it takes us to find best sellers or business patterns that currently take a large amount of manual effort.

I've been working on pitching to a retail location for... this year is the fourth.  First two years, I wrote the pitch email and follow-up contacts myself.  Crickets. Last year, there was an abrupt change in concessionaires.  I couldn't find the point of contact for the new organization, so I had to skip a year.  This year, I used AI to help me word the pitch letter and this year I got a response back.  The difference between what I had written previously and what AI helped me with was slight but it got the door open to further conversations so the mission was accomplished.  

I'm also using it to help me write product descriptions.  I always check to make sure it sounds like me before posting but even with that, it has been a huge time saver.

I use AI for a myriad of things, but as an assistant not a leader:

 

Email marketing - Sometimes I am stumped at what my subject line should be so I add my content into ChatGPT and tell it to provide a few different ideas for subject lines that fit my ideal clientelle.

 

Social media captions - The hooks are the hardest part for me, so I will add in my content and have it generate a few for me to choose from.

 

Counting for text messages - When I send text marketing blasts out, I have it count the number of letters used so I don't run over and have it suggest other ideas based on what I have to increase the likelihood of bookings.

 

Strategy - I tell it my current marketing plan and have it give me suggestions on areas where I am missing opportunities to increase the potential of getting in front of new clients.

 

Pop-ups on website - i have a pop-up on my website that collects emails. I A/B test a couple of different versions to see which one collects the most emails. I feed Ai the best versions and have it create ads based on the seasonality/trends in the market (which I also feed it)

 

SOPs - When I create process docs for the salon, it is typically in bullet points and rough so I have it transcribed into full sentences so I can provide to staff to review.

Here I am back with another AI snippet that should be a built in tool in Square: Daily Cycle Count Generation!


This tool is a tool that will update a Google sheet with your catalog (assuming you used my API-Export code for your catalog in my signature) - Daily It will generate 20 inventory counts and send an email every day to anyone on a list of staff to be informed - I can then take my Square terminal or a phone logged into the app and quickly validate correct inventory from an export that auto exported my catalog & inventory a few hours before opening

@sargos in a perfect world with my Square for Retail subscription this should be built into my POS & Square Terminal - For me this will count my entire store 3 times a year. All vibecoded with AI - I am not a coder...Why can't Square do this?

To make it read like a human wrote it instead of so computer. AI has potential, it’s getting owners to accept the concept of allowing AI to work for a business the opportunity to grow.
