Thanks for getting in touch with Square. I'm sorry to hear you're running into trouble with your item library and Etsy.

With the Item Import Tool, easily add or erase items for your library using an Excel (.xlsx) or CSV template.

To get started with Item Import Tool, follow the steps below:

  1. Visit Items in your online Square Dashboard.
  2. Click Import at the top-right of the page > click the Import button in the pop-up.
  3. Select Modify Item Library to add new items and update existing items, or Replace Item Library to delete all existing items and replace them with your uploaded items.
  4. Click Next > Download our template file. Select between Excel (recommended) or CSV.

Note: If you’re using Safari as your web browser, you’ll need to right-click the Download our template link and save the file to your computer.

  5. Open the itemsbulk-template.xlsx or .csv file saved to your computer in a spreadsheet program.
  6. Fill in the template columns with your item information. When editing the template, keep the following tips in mind:
    • Don’t change any of the information in the Item ID column or delete empty columns.
    • Leaving the category field blank will leave the item as Uncategorized.
    • New categories will be created for any new values identified in the Category column.
    • Leaving the price field blank will create a variable priced item.
    • Leaving the modifier field blank will default the modifier to off. Place a “Y” in the appropriate Modifier Set column if you’d like a specific modifier applied to an item.
  7. Save the edited file to your computer.

  8. Drag and drop the file into the upload area or click select it from your computer > Upload.

  9. Review your changes and click Confirm Import to upload your new item library.

Note: Once you click Confirm Import, you’re unable to revert back to your previous item library.

Keep in mind that once you’ve confirmed an import, you’re unable to revert back to a previous version of your library. You can find step-by-step instructions for importing your item library in our Support Center.

Let me know if you have questions – I’m glad to help!

OMG!! I have been struggling with this EVER SINCE they did away with the Etsy reader and partnered with square. I had gotten the sync cut to work once in that whole year. I contacted Etsy who said contact square and back and forth. I have my biggest show of the year this weekend so I was determined to make it work!! I had tried the remove square from your Etsy and it did nothing. It would half sync the items it wanted but not all of them. I read a post that said to delete all your listings. Well that’s great, but I have 400 listings and was not deleting them one by one. I found a hack that told you to export your square library to excel. Then delete all of the listings except for the headings row. You save it and then import back to square. Voila empty shop. I then reconnected my square to my Etsy pressed sync and prayed. IT WORKED! This is the only thing in a year that has made it work. I hope it can help others!! Even if I have to do this nightly, I’m game. It makes my life so much easier at shows.

Thanks for posting this. I’ve had issues since June and finally square sent me this workaround that you described...just this weekend. Hopefully it works for me too, since September is a heavy event month.

I've also been having issues. My last sync was August 9th. It's now the 23rd. I do notice that my items ARE appearing in square, but its deleting my inventory! This is a BIG problem since I only have 1 of every item. I've done everything square suggested, and everything etsy suggested, theres a ticket going to tech support on etsy, and I also received the same reply of "we are unaware of this issue with other users". My ass they are 'unaware' 😑😑

You will essentially download your inventory from square into excel. Delete all listings on the spreadsheet and upload the blank version. When you click sync it should magically work.

I'm not paying for excel. It is not free on my computer. Besides, the whole point of the sync is to not have to do such excessive steps as these EVERY TIME someone adds a new item.

You only have to do these steps once. There has to be a problem with the currently inventory on square that’s preventing the sync. Once I did this I had no future problems any time I synced my listings. I know it’s a process, but I had to be able to sync my listings and this is the only thing that helped. You can get a free version of excel online. It is called Libra office.

Even if you are consistently adding new items? I add new products at least 1-4 times per week.

I sent in this report to Etsy two weeks ago, but I still don't have a confirmation code like support said I would get. I have a show coming up next weekend and really need this issue fully resolved.

Yes. At some point between Etsy and Square inventories there became some error. Doing those steps above essentially resets your square inventory making it open to accept a new Etsy inventory. I add at least 10 new items when I add to my shop as they are all one of a kind single items. Once I did the above steps only once I can sync to my hearts content with the new listings before each of my shows without any further problems. Has been going strong for over a year since fixing it.

@Teecycleshop I downloaded LibreOffice but for the life of me, I can't get it to open at all! I can view that I have the files for it, but they are all empty, and I can't get the program itself to open anywhere?

Once it’s downloaded there should be an installer that installs all the programs. It would be a file with the extension .exe. They usually call it install or installer. You would download it and then have to open that up. I have never had to install it at all but the salesman at my company use it everyday.

Want to chime in here that Trunk can be an alternative if you're struggling to keep things in sync between Etsy & Square.

Trunk can keep your inventory synced in real-time between Etsy & Square. All you need to do is make sure SKUs match up between both platforms.

Trunk has live chat support so feel free to ask questions on the website @ https://trunkinventory.com

What is Trunk? Is it a separate platform? I have never heard of it before

@tecichan Yep! Trunk is a separate app that was developed by me that connects to both Square and Etsy. Trunk only just recently integrated with Square a few months ago so it's relatively new on the Square scene. We already work with lots of businesses using Square that are using Trunk to sync their Square inventory with everywhere else they sell.

Trunk also connects to Amazon, eBay, Faire, Shopify and Squarespace so you can use it to also sync with those as well.

Please let me know if you've got any questions!
