Payment Links does not Separate Transactions for each Link

We pretty much use Payment Links for Square. I have created several payment links for different reasons and the payment process works well. The problem is in the data retrieval of these payments. On the Quick Access "Transaction" page we are only able to see "Payment Links" as a whole, not by each individual Link we have created. So therefore this option is no help in attempting to gather the payments for the Link I need the data from. If I go into, Payments/Payment Links, each individual Link is listed but it only shows Total Sales over a 90 day Period. If I click on the individual link, that just brings up a sidebar showing the Link information. So no complete data can be gathered from this. On the Payment Link page, there is a Transactions search. But again, this is limited to 90 Days and can not be search just by one individual link to receive just that info. You are able to sort by Link name, but with thousands of transactions, Square has to search through them all and takes forever.

So my question is, on the Quick Access/Transactions page, under All Sources, could you add to further search by individual Payment Links. And or on the Payment Links page, the ability to see the sales of each individual link and not all the links grouped together. Also would be nice to have an Export feature.

Currently, Square’s system doesn't allow for detailed, customizable tracking and exporting of individual payment link data as you're describing, but there are a couple of workarounds and steps you can take to improve your experience:

Potential Workarounds:

1. Use Transaction Notes or Custom Tags:

  • Manual Tagging: When creating a payment link, you can add notes or tags to each transaction manually. This way, when you search through the payment history, you can filter by these tags or keywords. Although it may not be as automated, it can help you isolate transactions related to specific payment links.
  • This method would be helpful for sorting transactions based on the campaign or purpose of each payment link.

2. Exporting Transactions:

  • While Square doesn’t directly allow for exporting data by individual payment links, you can export your transactions from the Transaction Reports (via the Dashboard) into a CSV file.
    • Steps:
      1. Go to Reports > Transactions.
      2. Choose your date range (e.g., 90 days) and select the Export option.
      3. Once downloaded, you can open the file and use Excel or Google Sheets to filter by the "Source" or "Payment Link Name."
    • This export process will allow you to review all your transactions and manually sort them by the Payment Link column in Excel or Google Sheets.
    • Pro Tip: If you use a naming convention for each payment link, this will make filtering and sorting much easier in a spreadsheet.

3. Utilize Third-Party Reporting Tools:

  • Consider using third-party tools or Square's API if you need advanced data analysis.
    • Square API: With the Square API, you can create custom reports and query specific data for each individual link. It’s more technical but gives you the flexibility to retrieve detailed information about individual transactions.
    • You might need a developer to help set up a script or tool that automates this process for you.
  • Third-Party Integrations: Apps like Zapier or QuickBooks can help you automate data tracking or export your payment link transactions into more detailed reports.

4. Square POS Customization (if applicable):

  • If you also use Square POS, you can create custom items for each payment link, so each payment transaction is tagged with the respective product or service associated with that link. This way, when you export your POS transactions, you’ll be able to filter by those custom item names.
