Expense Integration with Quickbooks

I can't get my Square credit card expenses to sync with my Quickbooks account. Transactions are coming through fine.

I've been on the phone three times with Quickbooks who say there's nothing that can be done on their side.

1. Does Square really not sync expenses with QBO?

2. The only statements I can find for expenses in Square are PDFs, so I can't upload a CSV file as a work around.

I need help because this is going to be a deal breaker as a customer. Appreciate any info!

Over this weekend I downloaded a 2367 items on 90 + pages from a government website which was in a PDF format.  In Excel I was able to Open the PDF as an Excel Spreadsheet.  I was able to either have this in one Excel sheet or each page as a sheet in the Excel Workbook.  Since it would open it and I could save it, you should be able to save it as a CSV or xlsx file type to import to QuickBooks.  It is extra steps and there might be some Cleanup you need to do.  Create the Header Row from the Data, and possibly edit other data but the Data set came in fine.

I followed this YouTube video for converting a PDF to Excel.  :https://youtu.be/EaS2Ooe9BNc

I can't thank you enough for this solution. I killed the useless app integration, deleted all the previous imports and just uploaded the 12 monthly CSVs to reconcile last year. It's hundreds of entries vs. thousands. MUCH APPRECIATED

You may need to contact Square through the number on the back of the credit card if there is one and find out how to get a csv, qbo, or iff file from them for QuickBooks.  I went to the Square Checking tab here in the forum and found that Square decided to give PDF as the download because that is how financial institutions want them, and suggest connecting to QuickBooks.

Here is the link to that topic:

Maybe someone there can tell you how to Link your Square CC.

Hello @LondonDeli ,

I am sorry you are running into some issues with your Quickbooks integration and are getting the run-around. I have heard sellers mention using Quickbooks to monitor their expenses, so that should be something that is available for the integration. Although Square provides the integration it is owned and operated by Quickbooks so when you reached out they should have been able to confirm that. I also am not sure why they are saying they could not help because Quickbooks has limited us on the support and troubleshooting we can offer for this integration. I hate to do this to you but truly you will need to reach back out to their support team to get this resolved. If you need anything else please let me know!

His main issue is with the Credit Card Issued by Square.  Other Credit Cards export statements as CSV, QBO, or IFF files that can import to Square with no typing.  With Square he can only export it as a PDF type file which is the issue.  It seems he has the integration to work with Square from his POS as he says the Transactions are coming through fine.  The issue is on the Credit Card side where he has Expenses and wants to import those to his QuickBooks Online.  I do this all the time with my Credit Cards from Wells Fargo, Capital One, and even some store cards like Home Depot or Lowes.  But for some reason Square decided to only allow people to export their Square Credit Card statements as a PDF and not as any other type of data that can import to QuickBooks.  The issue is not with QuickBooks if Square is not letting people download their Square Credit Card transactions in a minimum of a CSV file instead of a PDF.  Even the Link I gave here in Message 2, to the Square Checking tab in the Help Forum states that Square decided to only let users download their statements by PDF which is an unacceptable format to import to QuickBooks.  So since you are stating that he can reach out to Square about the Integration; Does Square have an Integration for Square BANKING (Checking Account and the Credit Card Statements) that the original poster is not aware of?

Thank you, but it seems that my two issues remain unresolved - it doesn't make sense that Square only allows half of what I need as a customer to be automatically synced, and then doesn't offer a workaround for that half to be manually uploaded.

What is the process to submit feature requests? I see that some people were raising this issue a year ago in this forum, and it would help me to understand if Square is in the process of implementing this or not. Unfortunately, it's a deal breaker for me as a customer. As my business grows, it's not feasible to have to manually input every expense line into Quickbooks, when most any other bank allows automatic syncing.

I do really like the speed and efficiency of having sales and expenses flow through my Square account, so I'm hopeful this can be solved.

Thank you Keith for looking into the PDF and integration issues. It's pretty disappointing that a CSV or some other importable format isn't available, since Square is trying to present itself as a full service banking option:(
