Is there a way to get the number of transactions per year from a sales summary?

I need some data for a card settlement. I have total sales and credit card fees for the relevant period (2013 - 2019) from the summary reports but I also need the number of actual transactions. I don't see any way to find those? If there's not a simple count to be found is it possible to download a detailed report by customer per year?

Hi @Virtual2024.  On your online dashboard, there is a standard report called “Payment Methods.”  It has the information you are looking for for every payment method, not just cards.

I’m a little confused since you mentioned report by customer at the end of your post.  Are you looking for this report ONLY for certain customer(s)?  If so, that might require a different approach, since I don’t think there is such a report by customer in Square’s standard reporting repertoire.

That report is only available from Nov 1 2021 and I need number of transactions for prior periods. This is for a class action claim. Any ideas?

That is going to require a call to Square customer support.  I have no clue about finding that information prior to Nov 2021.  I’ll also tag a couple of Community Moderators, but it sounds like time is critical here, so a phone call would be better.

@MayaP While @Virtual2024 will need to explain their goal for responding, I will point out that the report I mentioned does NOT have any data prior to November 2021, for anyone.  At least, so says the error message displayed when we try to access data prior to that date, and I (for sure) processed lots of transactions prior to November 2021 with Square.

There are ways to get this information.

Goto Transactions on your Square Dashboard on a computer. Change the Time from to 01/01/20XX - 12/31/20XX where XX is the last 2 of the year you need and repeat for each year.  Square only lets you get data for a maximumum of 1 year at a time.  

As you can see in the  The date range here is for June 2019 - December 2019 and also in the image I had 1718 CC transactions since I filtered this for Card Type Transactions.

In the below Picture you can see where the Red arrow points to change the Date Range.  Again you can only do this for a Year at a time.  So 01/01/2018 - 12/31/2020 will give an error, but 01/01/2018-12/31/2018 will work.  Then just repeat for each year.  This shows ALL cc transactions.  My example only starts at June of 2019 which is when I switched to Square.

That is one way to do this using the Square Dashboard....

How to do it another way which might be what you're looking for By CC also is below:

Go to your Transactions - Export your Transactions Summary - this gives you the Card Brand MC/Visa/EX/Discover/etc

Open the CSV file with Excel.... Left Click to select a cell   any cell then from the Top ribbon bar, select Insert, Pivot Table to a New Sheet.

You will then get a Pivot Table like the one below.  You will have to select Headers from Area pointed at with the Red arrow.  Then move them around if needed to get the correct Headers in the correct Fields Blue Arror area.

After having these Headers in the corresponding boxes you can have a Pivot Table for each year like:

So in the above Pivot table I have the Filter by Card Brand (Visa in this Example)

Values were changed from Sum to a Count so in June of 2019 I had 127 Visa card Transactions.  And for 2019 I had 1184 Visa Transactions.  Now to see how many MC transactions I had, In area B1 where it says Visa, there is a Filter thing and If I select that with a mouse it lists all Brands of CC that were used. See Below Pink Arrow pointing to where you select card brands to filter.  Then choose the brand and new totals will appear.  

Now if you need other data for this you can add different headers to the Filter, Columns, Rows or Value boxes in the bottom right of the above image.
