Can I scan to receive inventory via a purchase order?

I use Square for Retail (paid) and frequently use both purchase order feature. In the past, I've manually used this feature to receive inventory and to track which PO's are fully received.

I recently invested time into getting scanners to make checkout more accurate and easier for my staff. I assumed that I'd be able to scan to receive the items on a particular purchase order. I've found that I can scan to receive inventory, but if I want to receive the inventory via a unique purchase order I still have to do it manually.

If I receive it via the scan to receive feature, my inventory will be accurate but it's not cross referencing against my POs.

Has anyone else had this issue/frustration?

If you click on the Purchase Order you are receiving, you can click Receive all.  You can also edit the receive quantity here if you click on the 3 dots on the right of the item.  I find this easier than the Scanner route.  I do most of my receiving through a Chromebook using the Square Dashboard website.   If i make items, i select Invenory and Receive the items to Update the quantity.  The Inventory Receive items does not connect to a purchase order for items I make.  I have not tried receiving items by a Purchase order on my cell or a tablet through the POS.

Here the steps for receiving items from a PO:

From the Square POS app with retail mode enabled or from the Square Retil POS app:

  1. Open your point of sale app, then tap Inventory. If you’re using Square Retail POS app on Square Register, tap the list icon on the left-hand side of the screen.
  2. Tap Purchase Orders > tap the appropriate purchase order.
  3. Tap Receive items > check off the appropriate items to be received.
  4. Tap Modify, then tap Receive in Full to receive the full quantity of received items you need to modify, or tap Partial Receive to receive a partial quantity > tap Save.
  5. Tap Next to view the Purchase Order Summary.
  6. Tap Receive to complete the reception.

Yes I know it says Create POs but also describes how to receive and Cancel POs

I appreciate the response. That's how I've been doing things for the last several years. Was just curious if it was possible to receive on a PO with scanning, as it would save me time. Unless I'm totally missing something it just doesn't appear to be an option.

First off, welcome to the Square Community! We appreciate you reaching out, @dbBootMechanics

@Candlestore, thank you for all this helpful information! I see you mentioned the "scanner route," but do you by chance know the process for the scanning route? Within the article you posted, I see there are some directions on using your scanner, but was not sure if you may be aware of another way?

Here are those directions I was able to find, in the meantime:

  • From the Square POS app with retail mode enabled or from the Square Retail POS app:
  1. Open your point of sale app, then tap Inventory.
  2. Tap Purchase orders > Create purchase order.
  3. Select an existing vendor or tap Create vendor. Tap Continue.
  4. Using the search bar or a compatible barcode scanner, select the items to apply to the purchase order and tap Continue. You can see only items that are associated with the current vendor by switching a toggle during search that says the “Vendor Name only” filter.
  5. Add quantities, a vendor code, and a unit cost. To adjust, tap the relevant field. Tap Continue.
  6. Review purchase order details.
  7. Add an expected date, any relevant taxes, and an optional note.
  8. Tap Create or Save to complete the draft at a later time.
  • Once the purchase order is created, you have the option to send a copy to yourself or the vendor. You can also add an optional note.

I hope this helps a bit! Please let us know if you have any other questions about this.

Why not goto the Actual PO, and select Receive all as circled in red, no Scanning at all?  See below:

PO.png

Then you do not even Scan or handle the product, It shows up, you count it, looks good click receive all.  Items go in storage or on your shelves.

I understand, @Candlestore. I was just trying to see if there were any other options, since @dbBootMechanics was looking for a scanning specific option. Either way, I appreciate all the help, as usual.
