Team Permissions leave your Transactions visible to your employees

I set up my Terminal for everyone to use today. I also have my Team Permissions set all OFF except for the ability to except payment. I expected my past transactions to be hidden from my employees as it is none of their business how much and from whom money came. But that info is on my terminal to peruse at will. Phoned support - and it Cannot be turned off or hidden. So all my employees can see how much my business grossed for the last 30 days.

 

I can see it all on my Terminal (handheld). The monies that the business brings are absolutely none of my employees business. I cannot use Square Terminal at all because of the inability to turn this transaction record off or put it behind a pin code.  I want and planned to use this terminal to accept cards with all my employees, but without being able to hide the transactions of 30 days, I cannot. This expensive gear is now a paperweight.

 

Last season I had an employee with Square on his cel phone with a small reader. He got upset near the end of the season for some reason, and now I understand why. He looked at 30 days of transactions and could view every penny brought in with square. Not only could he view his transactions, but any and all transactions of the business that went through square. WTF - I turned Transactions OFF in my Team Prefs. Today, I was advised by Support that the ability to view Transactions for the last 30 days cannot be turned off.

 

Anyone else have this problem - letting employees see your entire Gross Sales for the last 30 days? In my opinion it is leak of my business information and quite detrimental.

For context, I run a seasonal business that lasts about 30 days. I cannot have employees know the volume or value of my business at a glance.

Thank you for reaching and voicing your concern on this. I completely understand and wouldn't want my employees to see all my sales and transactions. I do want to gather some additional information in order to better assist. To be clear we are specifically talking about the "Transaction section" correct and not " Reports." Because if you have team permissions turned off for "reporting" then your team members will not have access to view reports for any period of time. They will see "Insufficient Privileges" after they enter their code. 

 

 

 

Now if you have "Transactions" turned off for team permissions your employee will still be able to see the last five transactions that were processed. You stated your employee could see the last 30 days, in that 30-day time period were there only 5 transactions? If so then yes it is set up by design to be that way.

When I phoned Support at Square the worker told me it was 30 days worth of transactions that would be viewable under Transactions, even when turned off in team permissions. I only had a few transactions, so it looked like all were visible. If as you say it is only the last 5, then it is not as bad as I understood and was told it to be. All transactions for 30 days is crazy and a breach of businesses privacy - if that were the case.

Maybe train your support staff more to give correct information. That was a disturbing answer from your company. And then forcing me into the forum to maybe wave down a dev team to possibly get a change made, maybe - well that was crazy too.

 

Reports is off and behind a PIN - no prob there.

 

I don't want them to see any history, and it should be optional to turn off in the Permissions. I really don't understand why it shows transactions from other devices as well - that should be a choice too.

 

In looking at the Terminal again today, I see 5 Transactions as you say. It shows the total and also tells what the Tip was. That is not good at all. If checked frequently my employee probably added up the Total or Tip portion roughly and got upset. Again when this has been turned OFF it should be off and behind a PIN code like everything else.

Your second Post - I cannot show you what he saw, it was last year (seasonal business) and above is my best speculation.

I do apologize you were given bad information from our staff, and have had to spend some time now seeking out your own answers, definitely frustrating.  The thought process behind still having employees be able to see the last 5 transactions is so they can issue refunds, but again I understand that isn't applicable to all business needs and kind of defeats removing all other permissions. I would suggest you submit a feature request on our Ideate Board and that is something maybe down the line that can be changed. Please keep in mind submitting a feature request does not guarantee it will be implemented.
