Shipping for Square Invoices

The title of this thread has been edited by a Square Moderator from the original: "THERE IS NO SHIPPING Service FOR INVOICES"

 

Please do not waste your time with all the Shipping Nonsense ,     This is only for On LINE STORES .

 

If you send an invoice out to your client and they pay, there is no way to ship , 

There is no work around,     There is no direct answer from Square ,  Its is for NULL AN VOID.

 

I have spent countless hours, please do not waste your time

 

The PLUS program also is not going to help you with the Shipping . 

Please do not waste your money on that. 

 

So you cannot use any Shipping Service such as Shippo .

You cannot mark  your invoice as shipped .      

 

 

 

This has been very Frustrating for many as well as the hoops we have been asked to try.

Hi @phantomrain @LizS1 @DinaLRosenberg Appreciate all the insights. We have recently launched invoices x shipping. The option to create an Order for shipping is now an option when you are creating an Invoice. You can still request a buyer's shipping address like before. Once an invoice is paid, you can purchase a shipping label through Square, or add a manual tracking number. As I and others have said, this is not an acceptable solution. Service charges don't sync with inventory databases and finance programs as actual shipping charges, and they often can't be changed, so using service charges creates permanent errors that take a lot of time to work around at tax time. It's also incredibly unwieldy if you charge exact shipping costs based on location and mail class, especially if you ship products of different weights. It's completely ridiculous to expect people to have a separate service charge for each package weight, zone, and mail class. That adds up to hundreds of different service charges — and Square doesn't even let you organize the list of them. Please read the comments you're replying to before you reply. It helps avoid redundancy, and it would have saved you the time it took to make this post.

I have submitted a feature request. Looking at these forums, it seems people have been requesting this for several years. All anyone on Square’s end has done is offer unhelpful workarounds. It’s pretty clear that this basic, essential feature isn’t going to happen.

In the past with the activity happening in the Seller Community several of these requests would fell through the cracks, because of this the Community team developed the Ideate boards to be able to follow up more efficiently and to prove better visibility to product teams and other Sellers.

I am new to Square and I am still trying to get all set up. I use this for my Mary Kay business and I have customers all over the country. I am trying to figure out how to charge shipping when I invoice my customers that live outside of my area. I use priority shipping through USPS. Do I just need to create an item for each size box I use with the cost of the box? Help!

You can do that or just create an item called shipping and leave the amount blank.  Then you can enter the amount at the time of sale when you select the item.

It worked out well. I was able to just input the different types of boxes and envelopes I use with the prices.

I create manual invoices for my online facebook group sales. Is there anyway to have the invoices linked to a shipping application? I come from using PayPal which has invoicing and shipping all in one location, linked together but they have no inventory tracking and terrible reporting features. I love Square except for the fact that I am now manually typing in addresses and then manually providing people with there tracking numbers. This is incredibly time consuming and frustrating! Any assistance is greatly appreciated!

If you use a Square partner app like ShipStation it can integrate and help with invoicing and shipping items faster and more easily.

Hi - since July 2020, shipping charges applied to online sales have been showing up in Reports as a Service Charge (previously showed up as Uncategorized/custom amount). However, when I add shipping charges to an Invoice, I have to add it as a line item which sends it into the Uncategorized category..... so it is not being included in Service Charges. Is there a way to set up shipping charges on an invoice that sends it into Service Charges in reports? I'd like all my shipping charges to show up in one place.

This would be considered a feature request, as our teams would need to implement an official way to add a real "shipping charge" to Square Invoices in order to support accurate reporting of those charges. As of now, you are using a workaround that requires you to add a "shipping charge" as a line item by inputting it as a custom amount, which as you stated will be recognized by our system as Uncategorized.

What I would recommend in the meantime is to create a variably-priced item titled Shipping fee (or something to that effect). This way, you can still add a unique shipping charge for each sale - I assume this is why you are using custom amounts right now. If you charge shipping this way for invoices, you'll be able to view all shipping charges related to invoices by heading to your Item Sales report.

I'm so confused by this post. 

I send invoices to customers all the time. I just created a product called shipping and add that to their invoice like it's a line item. I also created a category that is simply shipping so I can easily look at how many times and how much $ was collected for shipping. 

Customers that receive invoices also have a spot to provide a shipping address....

I don't use that shipping service but I do purchase shipping labels thru PirateShip and send the customer a shipping notification to their email I sent the invoice to. PirateShip is the one who sends the notification on my behalf.

 

I would imagine with Square's online store that order status gets changed to shipped. If you're just sending a normal invoice there isn't a way to update the status to shipped.

We invoice about 10k a week in product. What we do is we (like suggested above) create a line item with the shipping about called shipping. When the customer pays, they are able to enter their shipping address. When it is time to ship we use stamps.com; we copy and paste the address into stamps as well as the customers email address. The customer receives a shipping notification from stamps directly. Once we ship, we then archive the invoice that way it doesn't show active. That's how we differentiate between what has gone out and what hasn't.
