Xero Invoice using Square Payment Link showing as Untracked Team Member

Hi all,

I use a Square Payment Link in my Xero invoices.

Problem is that the payments show as 'untracked team member' on my reports.

I've asked Square Support how to change this to show 'Xero Invoicing' but they say it's not possible.

Does anyone have a work-around?

Youโ€™re not alone, this is a known limitation when using Square Payment Links with Xero invoices. Because payments are made via a generic link (not tied to a specific Square team member or POS device), Square records them under โ€œUntracked Team Memberโ€ by default. As Square Support mentioned, thereโ€™s currently no way to relabel these payments as โ€œXero Invoicingโ€ in your Square reports.

For tracking purposes on the Square side, the best workaround is to export your transactions and manually mark which payments were made via Xero invoices in a spreadsheet. I realise this isnโ€™t ideal, but in terms of reporting, itโ€™s the most reliable option at the moment.

Out of curiosity, have you had a chance to reach out to Xeroโ€™s Support Team? The Xero integration is managed by Amaka, and theyโ€™re usually very helpful with suggestions to improve payment reporting through the integration.
