I would like to create accounts to people can receive payments on behalf of my business on their phones / without having access to everything. Is this possible?

Yes, this is possible through Square's Team Management and Team Plus features!
Here's how you can do it:

Enable Team Management:
- Log into your Square Dashboard
- Go to "Team" in your dashboard
- Set up Team Management (free) or Team Plus (paid, more features)

Create Team Member Accounts:
- Add new team members with their email addresses
- They'll receive an invitation to create their account
- They can download the Square Point of Sale app on their phones

Set Permissions:
- You can customize what each team member can access
- Set specific permissions for:
- Taking payments
- Viewing sales reports
- Processing refunds
- Accessing customer information

Basic Permissions (Free):
- Take payments
- Process returns
- View their own sales reports

Advanced Permissions (Team Plus):
- Custom permission sets
- View sales reports
- Issue refunds
- Access specific locations
- View/edit customer information
- Each team member has their own login
- You can track who processed which payments
- Team members can't access sensitive business information
- You can revoke access at any time
- They can only access features you specifically allow
- Start team members with minimal permissions
- Use unique email addresses for each team member
- Train team members on proper payment handling
- Regularly review team member activity
- Update permissions as needed
Your team members will need to download:
- Square Point of Sale app (for iOS or Android)
- Sign in with their team member account

Then what do the staff memebers do as they cant see the pay by my phone on the app - a bit confused what they do when they logged in next

If team members are not seeing the option to enable Tap to Pay, there are a couple of thing here:
- Ask them to double check that their device is on the compatibility list
- Confirm that their permission is setup correctly. You can check this on your Square Dashboard > Staff > Team > Team Permission. If you click into the permission you've set up, you will be able to check and uncheck permission set as needed.
Something to keep in mind when checking permission: try scrolling down to Account & Settings. From here, enable the permission and uncheck everything except "Configure hardware settings". Saved the change and asked your staffs to try again.
