Stock control for bar

Struggling with setting this up any advice would be very welcome! Tried to search for a solution everywhere but struggling through loads of out of date info vs the new features of square.

Problem: Multiple sale items which share the same base ingredients i.e vodka and mixers, cocktails with vodka, shots of vodka. Square seems to only track item sales so the out of the box is useless.

Potential solution i want to check with the community:

.Create a non sellable stock item for each type of stock unit, i.e a keg of beer, bottle of vodka etc

.Create units on each non sellable stock item i.e pint is 0.0000065 of a keg, half pint if 0.000000007 etc etc

.Re create all of my sellable items as bundle items, and add the stock item and measurement to it, i.e vodka and coke is vodka bottle with the shot measurement plus pepsi max box with the single serve measurement

This seems to work from initial tests and will take the correct amount off the stock for vodka bottles when i sell a cocktail with it in, double vodka and coke with it in etc

Only issue is a then lose the ability to add options when selling bundles so i need to create an item for every variation i sell, so single vodka and pepsi, double vodka and pepsi, single vodka and red bull, double vodka and red bull etc etc etc etc etc etc etc

So i end up with comprehensive stock tracking but explosion of items and options on my handhelds. Search function helps overcome this but i just want to double check there is not a better or easier or official way to do this before i spend days re creating all my items and realise its wrong!

There's an addon app called Bevspot which might do what you're looking for. It offers a free version also.

Looks good but £299 a month after free trial for the standard plan is way beyond affordable for us, would be cheaper to just let the stock go missing or hire someone specifically to do stock control 🤣 Also trying to avoid paying any extra for something that seems like a basic requirement for stock control in square when they claim to cater (pun intended) to restaurants.

Yes when I looked at it a couple of years ago and had a couple of meetings with the company it was free for one location with full functionality. Full stock management stuff is expensive though, whichever industry. I think you have it worked out as long as you don't want to customise on the fly. Have you considered using modifiers? You can add a cost to a modifier and create pretty complex stuff but I don't know about it effecting stock...

Thanks for posting on the Community @Rhysj123 👋.

I'd be happy to help. Can you confirm which software you currently use (Restaurants, Retail, POS), so I can check if we have a beta testing going on or another API?

Thanks Lou, we have a restaurants subscription but not sure if we will keep it as scaling back our food offering. Definitely use pos though and may keep restaurants if it helps with stock control.

Thanks @Rhysj123 .

I believe the Beta team is running a test for Ingredient Cost Tracking feature. Do you want me to check if it's still running and if they can add you ? You will need to be subscribed to either Square for Restaurant Plus or Premium.
