How to change to see negative inventory vs “Sold Out”?

Today, my items list switched from showing negative items to “Sold Out” this is huge issue. How can it be switched back???

You'll find the toggle in the Square Dashboard

Click on Items > Click on an item > Click on Stock. In the overlay that opens, you will see a toggle with the label "Tracking."

 

I expect we will be able to remove the Sold out label tomorrow! The red highlight styling will remain.

I saw that a few of you had posted about this topic, so I brought the threads together so I could respond to you all! Sorry to hear about the troubles here. I've gone ahead and reached out to the team that launched this feature, and directly provided them quotes and feedback from this thread.

Hi @collinsandcoupe, I can give some more details about this. 

 

When an item variation does not have inventory tracking on, the toggle gives you the option to mark it as sold out manually. If you turn it on, then the item will have the red highlight in the Square Dashboard:

In Square Online, the item will have "Out of stock" displayed on your site:

In Square Point of Sale, it displays in your item grid grayed out with a strikethrough, and in the item search with a Sold Out label:

In Square for Retail point of sale, there is no change. To see current stock at a location, you can tap on the item in the cart and there is a current stock row. When you do not track stock, it will say "Receive Stock".

In Square for Restaurants point of sale, the item will be grayed out like several examples in this screen shot.

I passed your message to the team in charged of this recently released feature to have better understanding on how we can help you and here is what they shared:

 

 

"This is a feature that was rolled out as part of the Refreshed Point of Sale application, if this feature is not working properly for them they can do one of three things:

 

1) Revert back to the original (legacy) checkout experience as that version does not behave the same way. You may do this by visiting your checkout settings and tapping on "Revert to previous experience"

 

2) Track stock for the item variation at the online location, but not for the farmer's market locations.

 

3) Don't track stock at all and hide the items online when the preorder time is up. This will have a drawback of letting you oversell. This can be accomplish by changing the item visibility to hidden on the Online dashboard."

 

The team is working hard on making this feature work for everyone and they have captured your message to keep it in mind while the development continues.

 

I appreciate your patience and the time you took to help us understand the situation that you are facing.

I have no tracking toggle and no way to change inventory tracking. I’ve never used inventory and it’s not even coming up as an option but tons of my items even drill down into categories that I have items within them are showing out of stock. Again I’ve never used inventory so it should be fixed on your side I see no way to fix it on my side

Hi

Since today I have some red numbers/buble over the number of my stock item. Some are red, other items stay black like therefore.

I can't find what it means.

I'm a little confused by what is going on here, unless something has been changed since I started looking at this.

In my dashboard, I'm seeing negative numbers under stock. (Clearly I'm behind in updating things...)

On the iPad, however, I see the items showing sold out. If you're on the latest version of the POS app.

I can't say for the Retail/Restaurant apps, I only use the basic app.

It still allows me to add the item to an order and make a sale.

Personally, I like the "sold out" notification on the iPad POS. Many have been asking for this feature for a long time.
I like that it doesn't prevent me from selling the item, so I could sell it and wait for stock to arrive, but it does notify the person taking the order that it's not available on-hand.

 

Is this not what others are seeing?

 

It looks to me like, we have the best of both worlds. The negative stock numbers and sold out notification on the iPad.

I really hope we're not going to lose this....

I hope we get some information to day to clear the sold out on the items.

 

P.ex. I have 1 item with 5 different prices but the stock is on the regular price. I cha ge the amount of negativr stock when receiving new stock and cant set tracking of because the stock on square use to be the same i my physical stock.

Again my problem is the fact that I have never used inventory.  I have never tracked stock.  All this talk of negative items is not my issue, but is related it seems.  I show sold out on items that have never had inventory.  Hopefully this gets fixed today.  It's frustrating as I have been through all pages and cannot find a toggle to turn off tracking - I have never had tracking on.  Maybe that's why?

I hear you, but we checked your catalog in our database and see tracking is on - you will need to follow the instructions I provided to turn it off.  I understand it's not clear how tracking was turned on - some thoughts on how it would be possible: someone else helping to manage the catalog, an integration like with an eCommerce website, adjusting inventory, receiving against a PO, or including a stock value on a catalog import would all turn it on.

I have been super busy, but I'm going to try and go in early today to work on this.  I tried with one category/item and now we can't sell anything in that category.  So I can't work on this during business hours.  I'm just catching up on all the replies now.  Hopeful that there might be more info below......

We deployed an update that removes the "Sold out" label on the Dashboard so that negative stock values are visible again.

Thank you for fixing that on the web dashboard.

Is there also a chance of getting the "Sold out" tag removed from the Android (and I assume, iPhone) Square POS App?

Again, this information is "clogging" up the display with info that I don't need to see.

 

Another use-case example: In the POS app, I am selling Asparagus in three "sizes". A one pound bag, a three quarters pound bag and a half pound bag. So I have three variations / prices for the three sizes.
In the POS app, It has the item listed, "Asparagus" then in the right-hand column, it details "3 Prices". Perfect!

BUT! below that in smaller red text, it says "Sold out (3 variations)".

Firstly, I know it's sold out because it's almost September, and I haven't had any to pick for months now.
Secondly, Listing "(3 variations)" is just redundant as I can clearly see that I have "3 Prices" from the right-hand side of the display.

As the deep movie voice guy says, "In a perfect world...." I would not like to see any of that red text telling me what I already know.
Again, if it could be set up as a toggle (for anybody that does want it) to select to see it or not, that would be fine, otherwise, I just think nobody needs it and it just make the interface ugly with junk.
Sometimes, less is more 😉

I need it... and it's been a feature many have requested a for a LOOOOOONG time.

I understand it being redundant for some, but for those that need it, it's vital. 

 

I can't tell you how many times I've had an employee sell something that we didn't have in stock, even after telling them and leaving notes on the main desk, etc.

I could always order it, but for most of our customers, we then had to ship it, often for free, because we operate in a tourist town and they wouldn't be here when the new stock arrived. 

 

This will help us dramatically so my employees know when we're out of something or not...

I still want to be able to sell it, and offer to ship it for a fee, but I need my employees to know to make the customer aware of this before hand. 

 

In my opinion, I prefer function over fashion.... I don't care what it looks like if it does what I need.

Precisely why this should be a toggle enabled option, you want to see it, so you could turn this feature on.
I don't need to see it, so I could turn that feature off.

 

I wonder if "real-world" users are on this beta team that dreams up these changes?
If not, maybe they should be. Or maybe the beta team should rotate through various "focus" groups of users.

That would keep a fresh perspective for things.

 

And y'all can thank me for taking the lead to keep my wife off the support forum about all this mess.

Her language would make sailors blush and truckers run home to mommy cryin' to their mommies.
She can keep construction workers in their place, too!

I suppose it can take a few days before the update is available? (I'm from Belgium)

I still have the "Sold Out" on all my items with negative or 0 items in stock.

I can't turn off tracking, because than there will be a difference between the physical stock and the stock on my app.

Hi @sabrina13! It sounds like you might be looking at the app - we will have a longer time horizon to get the change to the item details page in the app. For now, the Dashboard Item library is where we were able to make the quick change to show the negative values again.

I see now that the negative numbers have been restored...thank you! I am confused about one thing still, when I create a new item it gives me a toggle option to "display item as sold out". There are no options to address this on existing items. What happens if I say "no" to this question? What am I choosing between? What does it look like if I say "yes" vs "no"?
