ONLINE STORE Best way to deal with sold out items.

I sell jewelry and my inventory changes rapidly. My primary frustration with the online store is that items that sell out are not hidden on the site. I inevitably get customers who go to the store and ask if I can get more (I can’t usually as quantities are limited).

Does anybody deal with this kind of thing? Do you have any tips? Right now, I’m going through once a week and making sold out items hidden. Is there a better way?

Square, you guys need to fix that. It seems like a very easy coding thing. Right now, you can set a flag so that it reads “sold out” in the store. Seems like it would be just as easy to change the attribute to hidden instead.

Hi @MiniDivaJewels,

There is currently no built-in functionality to automatically remove an item from your store, however, it is a current feature request for Square. To do this on your side, you would have to utilize the Inventory API and connect it with code to perform the removal of the item from your store. (It's on my todo list to make a scalable app for this. 😉)

One thing you could do in the meantime (without coding) is set up inventory stock alerts to notify every time something goes to 0. When you receive these emails, you will know to quickly log in and remove the item.

Yes, you can export all of your items to a csv or Excel file and add low stock alerts for everything at once, then import the updated stock. By the way, you can use this to also mass update your stock.

To do this use the import tool as follows according to Square:

Manage Inventory and Alerts In Bulk

The Import tool allows you to download a report of your current inventory and update your inventory quantities in bulk. This is especially helpful for adding new inventory and verifying current stock.

To download an inventory report or make updates to your inventory in bulk:

Visit Items in your online Square Dashboard.

Click Actions > Export Library.

In this report, update your Stock Alert Enabled [Location] and New Quantity values and save the Excel (.xlsx) or CSV file to your computer.
Note: At this time, Excel (.xlsx) and CSV (.csv) file templates are the only supported file types for bulk import. Custom templates aren’t supported.

Drag and drop your saved file to the Import Inventory window and click Upload > Confirm > Done.

I sell only a few items and once they are sold out, I need the items to be automatically hidden from the site. It is frustrating to my Customers to click through the variations only to find that the majority of items are sold out. I don't replenish stock frequently so I need the variation items to hide once the inventory reaches zero.

Can anyone help me to set up this automatic feature?

Thanks all!

Hey there, @paldis -

I moved your post to a thread where a couple of other sellers had a similar question about low/out of stock items on your website.

There is a setting on your Online Store you can do to add banners to those low/out of stock items. Go to Settings > General > Scroll to the bottom.

Please let me know if you have any other questions.
