Report for Preorder Items

We operate a doughnut shop and we accept preorders in advance of customers collecting their orders. We then make the products to order on the day that the customer has preordered for.

So far I haven't found a way to generate a report that shows the number of the items (and what those items are) that have been ordered for the day - It would be hugely helpful for us in knowing exactly what we have to make for the day without looking at individual orders.

Is there a way to do this?

Hi @sherwb, thank you for raising this!

From reading your post, it sounds like you are looking to generate a report for the number of items ordered to be picked up on a particular day, is that correct? If so, there isn't a way to generate this report right now. I can definitely see how this would be a useful feature to have so I'll be sure to flag this feature request with our Square Online team.

In the meantime, the only way is to go into individual order to check the items that have been ordered. Within the Orders tab on your Square Dashboard, you can sort the orders by Fulfilment Date so it'll be a bit easier to group orders together.

There were a few of us chatting about this yesterday!

* for this to work fully, if you do 'in store' pre orders they'd need to use the ordering option in the POS to make sure they're counted.
* this will give you a lot of information - more than you really want, so I'd make sure you select a sensible date range.
* you'll still need to manipulate the data a little to see it how you want it - this isn't a perfect solution!

What we came up with was, in the online dashboard (website one) head over to orders & select 'Export Orders' from the top right

Then you can select your date range - I'd suggest doing it in weeks depending on how early people pre order. You'd want to make sure you've included all earliest date someone had placed their order.

When you hit download the system will grab all the info & email you when it's ready. When we were testing I (stupidly) hit download without putting dates in & it took about 20-30 minutes to do my entire order history.

The file you get will have all the information in, but the important bits I guess will be collection/delivery date & the product itself. You can remove any columns you don't need so you're just looking at the important stuff.

@lenjobakes is looking at getting the same information so sure she'll be able to advise if this actually works in the real world or any other tips 👍🏻

@sherwb - thought of another way to do it that might be a bit simpler

If you want to see the totals for the next day (or next x days, this won’t break it down into tomorrow, the day after, then the day after etc.) then you can use the KDS to see all that at a glance. You’d not need to use the restaurant POS to get it to work either.

In the KDS settings select ‘online orders’ to show & not in store (so you don’t have all your normal walk in orders on the screen too).

Under the orders settings, select to show orders based on pick up time - with 1 day/2/3 depending on choice.

Then all the orders for collection tomorrow will fill the screen. The KDS then has a great “all day” feature that will show you the totals for each item for all the tickets on the screen.

I’ve only got two orders in for tomorrow so far - but you get the idea on the left side of the display:

We did attempt the Excel export method and...I mean, not beautiful at all lol

The KDS option is definitely the most straight forward option! Can I ask: Are you already using KDS in your shop?
