I have a small healthcare practice and I am looking for a solution to patients calling in with their credit cards to pay their bills or writing them on the invoice and sending it in. I need to use my system's existing invoices because it prints a batch of invoices all at once that have the patients' account number, what the insurance paid (itemized) and what the patients' responsibility is. If I were to use Square Invoices I would have to create a separate invoice. I am not able to copy-paste as it is a closed, HIPPA-compliant system. Is there a way I can put a QR code on my invoices that I send out that will link to my Square account and the patient can enter their information and payment? I'm imagining creating stickers that I stick to the invoice or a card that I stuff in the envelope that has the QR code or a link that patients can use. Thanks very much!

Hi CMagil,

What you have in mind is perfectly doable - note, I'm thinking there's several steps involved but, generating a QR Code and including it in your invoice would work. Assuming your Square Account is setup with all the necessary details:

On your main Account Dashboard Page - Left side

Select Payments

Select Payment Link

Select Create a Link

Select Collect Payment - QR Code

Fill in the necessary info - suggest using your Invoice Number for the Title

* You can include a note if necessary and an amount is required

When done - Select Download QR Code

You should see a file named "checkout-link-qr-code.png"

* You may want to rename the file using the Invoice Number so you can keep track of your files and not overwrite any

From your computer - you can print the QR Code

Other thoughts, maybe not all of your Patients have the capability to use QR Codes or URL Links so that's something to keep in mind.

Thank you very much for the insights. I will try this over the next 2 days as we are going to start billing. (I may be back on this thread with more questions!).

WIth regards to your other thoughts: I agree, most of my patients, particularly the elderly, like to send in checks, which is great. I just want to give the more tech-savvy patients another option and save them the time of being on hold and having to key-in the credit card.
