Hello,

I have a client that recently reached out to me asking for assistance in regards to their migrating away from Quickbooks Point of Sale over to Square Point Of Sale.

The owner who has already purchased the Square equipment, but has not started any migration is really worried about loosing data going from QB to Square. She has asked me for my input and I told her I would research this.

Can anyone inform me whether Square can read and export data from QB? If not, can data be exported into an xlsx or csv file and imported into Square? What type of data is able to be migrated (inventory items, description, prices?) or what isn't able to be migrated.

She would like to complete this in the near future, but is scared to death to touch the existing setup.

ANY advice would be greatly appreciated.

Thanks!

@modem ;

As I see this is your first post in the Square sellers forum let me welcome you.

As for what Square can and Cannot import from Quickbooks depends on how your customers sales are setup.

Normal retail items can easily be imported as long as you now that the headers maybe worded differently.

QBs has an MPN field Square has SKU, GTIN, and Vendor Code. So there are little differences there. The other thing is if your customer does what Square calls Bundles, a group of items grouped together to be sold for a discounted price I am not sure if that would work.

What Square can import from CSV or Excel xlsx files are, Vendors, Customers, Items. Just remember Square is NOT accounting software and your customer would still need Accounting Software such as QBs for business expenses like Utilities, Rent etc.

Here is the Header field of Squares Catalog csv file.

Token

Item Name

Variation Name

Unit and Precision

SKU

Description

Category

SEO Title

SEO Description

GTIN

Square Online Item Visibility

Weight (lb)

Shipping Enabled

Self-serve Ordering Enabled

Delivery Enabled

Pickup Enabled

Price

Archived

Sellable

Stockable

Skip Detail Screen in POS

Option Name 1

Option Value 1

Default Unit Cost

Default Vendor Name

Default Vendor Code

Current Quantity Pocono Candle

New Quantity Pocono Candle

Stock Alert Enabled Pocono Candle

Stock Alert Count Pocono Candle

Tax - Pa Sales Tax (6%)

Those are the Headers for the CSV file. Token is Squares field for assigning a New Item. So if you were coping this from QBs csv file you would leave the Token field empty. Item Name is a Required field, and I am not sure which other ones are required. Since this is a CSV file you have a few less headers than the xlsx file plus in the xlsx file you have a few other sheets. These are for if you sell by other amounts such as we sell by single/packs of 12/ or case amounts that would be another sheet in the csv file.

These are the headers for the xlsx file. Here the Refrence handle and Token are left blank if uploading by xlsx for New items.

Reference Handle

Token

Item Name

Variation Name

Unit and Precision

SKU

Description

Category

SEO Title

SEO Description

GTIN

Square Online Item Visibility

Weight (lb)

Shipping Enabled

Self-serve Ordering Enabled

Delivery Enabled

Pickup Enabled

Price

Archived

Sellable

Stockable

Skip Detail Screen in POS

Option Name 1

Option Value 1

Default Unit Cost

Default Vendor Name

Default Vendor Code

Current Quantity Pocono Candle

New Quantity Pocono Candle

Stock Alert Enabled Pocono Candle

Stock Alert Count Pocono Candle

Tax - Pa Sales Tax (6%)

The other 2 sheets in the xlsx file are Unit and Precision for selling by weight for example, and Component Inventory which is if you sell by single/packs/and case amounts.

My suggestion is have your customer create a free personal Square account. Sign up with SS# not EIN if possible Import the QBs data to this account. See what needs to be tweaked if anything. The other thing I reccomend is if you create the Square account create an Item with the MOST detail from QBS using Square Dashboard interface. Use that as a Template for your Quickbooks fields.

Square does have a import program where you can Map MPN to Vendor code, when you import your QB data. They do show what is going to go into each field in Square before uploading it to Square though the items catalog upload in the Square Dashboard. The biggest issue I have is when exporting my barcodes no matter if from online, QuickBooks or Square is make sure you have all Leading zeros!!! Excel is great at dropping that no matter if it is in csv or xlsx files when you open it in excel the first time. it assumes 09645565479 is a number and displays and uploads it to Square as 9645565479.... for example.

If you have more questions on importing other data from QBs to Square ask here. I use QB Desktop and Square and have to do my integration by csv or xlsx files only.
