In you items catalog list. If you delete an item, does it erase all of the information from previous transactions/ For instance, if you no longer sell an item and it will never be available again, could we just delete it or is archiving the item better.

Also is there an easier way to find a report to show items that have never moved (sold or inventoried) because the information tied to them was entered improperly?

Thank you in advance

@ehflower :

I will try to answer these 1 at a time.

"If you delete an item, does it erase all of the information from previous transactions"

         The Transaction History is saved and you can also download a CSV file of you Transacations which would show the item. Just once the Item is deleted you will no longer be able to sell it or change data for it since it was deleted. I have deleted items but never tried the Archiving route yet so I can not answer which would be better.

"Also is there an easier way to find a report to show items that have never moved (sold or inventoried) because the information tied to them was entered improperly?"

Simple answer NO. Square is a POS, meaning its a Point of SALE system, so for the item to show on a report, it would need to have been sold at some point in time.

Now you can download your Transaction Items CSV file 1 year at a time from when your business started, and your Catalog of Items. Then use Excel formulas to merge these together and create a pivot table to see which items sold the most / least and sort this list. Since you are looking for items that would never sold, you could use formulas that if Item A sold in a Transaction delete (remove) this item from the catalog.csv file. These edits would all be on a computer so your Square catalog is not effected. Then after the computer found each item that was sold at least 1 time you would be left with a list of items that never sold. Square Sales history information only stores items that sold at least 1 time, if it did not sell there is no report that would show the item. This would all be outside of Square and not a simple click here there and poof results, but it can be done if you know excel formulas or can learn them. I am not an excel formula expert but have done similar things to what I am mentioning by watching different Youtube Videos on Excel formulas.
