Hey, @SparkleGlitch!

I’d be happy to shed some light on how to access your subscriber list and set up new campaigns with Square Marketing.

1. Accessing your subscriber list:

To view customers who’ve opted in to receive marketing emails, head to Customers > Customer Directory > Directory. You can then filter your list using the Smart Groups feature and select ‘Email Subscribers’.

Square will also automatically identify potential duplicate entries and suggest actions at the top of the directory page (see screenshot example below). Alternatively, you can export your customer list to manually clean up any duplications.

2. Confirmation emails for new subscribers:

Currently, Square doesn’t send an automatic confirmation email when someone signs up. We’ve shared this feedback with our Product Team, as we know many Sellers would value that extra layer of confirmation. That said, customers do see an on-screen confirmation message once they successfully opt in (screenshot below).

3. Sending test campaigns:

If you’d like to send a campaign to a test group, I recommend creating a custom group in your Customer Directory. You can manually add yourself (and others, if needed) to that group. When setting up your campaign, you’ll be prompted to select your audience, at that step, just choose your test group. I find this really handy for reviewing campaigns before they go live.

I hope this helps clarify things! Let me know if you’d like help walking through any of these steps.

Hi, I can find the list of people who have replied to the Email Signup in my footer, but I can’t see a way to manage that list (remove duplicate addresses).

I also cannot see a way to automate sending a confirmation email to people who subscribe, I really want to make sure they know they have subscribed or be alerted if another person enters their email address.

Lastly, when I go to create a test newsletter, I can’t see a way to access the list of addresses.

any help appreciated as I’ve spent hours on it and am hoping to find a solution

Hi Laurie, thanks for the info, but my issue is that when people fill in the newsletter sign up on the website, that info is not added to the customer directory and is instead only in the ‘form submissions’ section. I can’t see any way to link them. The same also happens if people fill in the Contact Us form and check the opt-in to receive emails.

Does this help clarify my issue?

I'm having this exact issue, Chatgpt tried to help and came up with this. I've contacted support but no help yet.

Hi,

Thanks for reaching out and providing such a detailed explanation, that’s really helpful.

From what you’ve described, it sounds like the Email Marketing module may not be fully syncing with your Square Online site, which is affecting how subscriber data is routed and displayed.

To investigate and assist further, I’ve flagged the following points for review:

Email signups are going to the “Email signup pop-up” list but not appearing in your main “Email Subscribers” list.

The “Manage Emails” link from the popup screen leads to a blank page.

Subscriber lists and marketing preferences are missing from your Marketing dashboard.

I’ll go ahead and request a refresh of your Marketing permissions to help re-establish the connection between your Square Online site and the Email Marketing module. In the meantime, could you confirm:

The URL of your Square Online site.

Whether this issue started recently or has been ongoing.

If you’ve made any changes to your site or marketing settings prior to noticing this behavior.

Thanks again for your patience, I’ll be here to support you every step of the way.

Warm regards,

Hi @SparkleGlitch and @Latitude57,

This thread is a bit old so you may have already got this sorted now. But if not, I know this can be confusing – especially when you expect everything to sync automatically – so here’s what I believe is happening and some steps that might help.

Essentially you're working across two different platforms under the Square banner:

Square Dashboard (where the Customer Directory lives)

Square Online (where your website lives and your subscriber form)

Square purchased Weebly a few years ago and has been integrating it into the main Square platform as 'Square Online'. There are still a few limitations and I think you’ve unfortunately found one of them.

How it works
Square Online and the Customer Directory do sync, but only in certain cases:

If a customer places an order or creates an account on your Square Online site, their details will automatically appear in the Customer Directory

If a customer fills out a custom form (like a newsletter sign-up or contact form), those submissions go into the 'Form Submissions' section of Square Online and do not automatically sync to the Customer Directory

This is the limitation you’re seeing. The only way to get those form subscribers into the Customer Directory is to export the form submissions and import them manually into the Customer Directory.

Workarounds

Export and import manually:
> Go to Square Online > Site Preferences > Form Submissions
> Export the submissions into Excel
> Then head to Customers > Customer Directory > Import Customers
This will pull those subscribers into your main directory so you can include them in campaigns.

Enable Marketing opt-in on forms:
> In Square Online, edit your newsletter or contact form
> Make sure the ‘Marketing opt-in’ checkbox is enabled and linked to your Customer Directory
This helps future signups flow correctly.

I know this isn’t as seamless as full automation, but these steps will keep your subscriber list clean and ensure you can test campaigns effectively.

These official guides may also assist:
https://squareup.com/help/au/en/article/6138-manage-your-customer-directory
https://squareup.com/help/au/en/article/6139-get-started-with-square-marketing

If you’ve already tried these and the issue persists, it might be worth contacting Square Support directly.
